Job Title: Lead Administrative Assistant (Lead AA)

Job Summary
The Lead Administrative Assistant (Lead AA) provides front-end operational leadership and administrative oversight within a freestanding emergency room environment. This role serves as the primary administrative resource during assigned shifts and ensures accurate, efficient, and compliant patient registration and front-desk operations.
The Lead AA works directly with the Facility Director and participates in monthly Quality Assurance (QA) meetings, contributing administrative data, identifying workflow opportunities, and supporting process improvement initiatives to enhance patient experience and operational compliance.
Duties and Responsibilities
1. Administrative Leadership
a. Serve as the administrative lead during assigned shifts.
b. Provide guidance, support, and real-time direction to Administrative Assistants (AAs).
c. Assist with coverage coordination, break scheduling, and front desk workflow management.
d. Support onboarding, orientation, and mentoring of new administrative staff.
2. Patient Registration & Front-End Operations
a. Oversee patient registration, demographic accuracy, insurance verification, and payment collection.
b. Ensure EMTALA-compliant first point of contact and proper patient routing.
c. Address and escalate patient concerns related to registration, billing inquiries (non-clinical), and wait times as appropriate.
d. Maintain a professional, customer-focused front-desk environment always.
3. Documentation & Compliance
a. Ensure accurate data entry and adherence to facility policies and procedures.
b. Maintain confidentiality and compliance with HIPAA and organizational standards.
c. Monitor administrative workflows for accuracy, compliance, and efficiency.
4. Quality Assurance & Performance Improvement
a. Actively participate in monthly QA meetings.
b. Assist with tracking and reporting administrative errors, trends, and performance metrics.
c. Support corrective actions and process improvement initiatives as directed by leadership.
d. Collaborate with clinical leaders to support cross-functional workflow improvements.
5. Collaboration & Communication
a. Communicate effectively with the Facility Director, clinical leadership, and providers.
b. Support interdisciplinary coordination to maintain smooth patient flow and operational efficiency.
6. Other Responsibilities
a. Perform additional duties as assigned to support efficient facility operations.
Minimum Qualifications
- Education: High school diploma or official high school transcript required.
- Minimum of two (2) years of medical front office, patient registration, or administrative experience preferred.
- Prior lead, senior, or supervisory experience preferred.
- Strong organizational, communication, and customer service skills.
- Proficiency with electronic health records (EHR) and administrative systems.
- Ability to work independently in a fast-paced, high-volume emergency care environment.
Physical Demands
- Ability to sit or stand for extended periods while performing front-desk and administrative duties.
- Frequent use of computers, phones, and office equipment, including repetitive typing and data entry.
- Visual and auditory acuity necessary to accurately process registration information and respond to patient and staff needs.
Work Environment
- Fast-paced freestanding emergency room front-desk environment with frequent patient and family interaction.
- Shifts may include days, nights, weekends, and holidays based on operational needs.
- Exposure to a high-volume, high-stress environment requiring composure, discretion, and professionalism at all times.
Pay: $20.00 - $26.00 per hour
