About the Role
We are looking for a reliable, organized, and motivated Administrative Coordinator to support our growing team. Responsibilities include organizing physical and digital files, assisting with daily financials, submitting weekly payroll, managing HR and employee administration, and handling general office operations. We're also looking for someone with basic to intermediate AI experience who can help improve organization, utilize AI tools, develop effective prompts, and stay current on emerging AI technologies. Bilingual (Spanish) is preferred but not required. This is a great opportunity for someone who is detail-oriented, tech-savvy, and eager to grow with a fast-paced, family-owned company.
What You’ll Be Responsible For
- Assisting with daily financial activities including data entry, invoices, receipts, and accounts payable
- Supporting bookkeeping, finance, and compliance processes
- Maintaining accurate records in our CRM and internal systems
- Basic to mid level experience using AI platforms such as ChatGPT
- Supporting HR administration and compliance documentation
- Answering phone calls and assisting with basic customer inquiries
- Supporting office operations and administrative needs as they arise
- Creating and maintaining simple SOPs to support growth and scalability
- Organizing and maintaining physical and digital files
- Assisting with internal training, documentation, and team support
- Helping keep the office organized, efficient, and running smoothly
What We’re Looking For
- 2+ years of experience in an administrative, bookkeeping, or office support role. Preferably in the construction industry.
- Strong working knowledge of Microsoft Excel
- 1+ years of experience with AI
- Experience using QuickBooks
- Experience with payroll software or payroll applications
- Comfortable working with CRMs and digital systems
- Strong attention to detail and accuracy
- Ability to manage multiple tasks and priorities independently
- Clear and professional communication skills
- Reliable, organized, and proactive work style

Job Type: Full-time
Pay: $22.82 - $27.49 per hour
Expected hours: 40.0 per week
