Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team!
This position works within our compliance department. It supports the other admins within the department as well as communicates with agencies and clients outside the company.
The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive attitude to help maintain an efficient office environment.
Whether handling correspondence, or assisting with results audits and invoice creation your contributions will be essential in fostering a productive and welcoming workplace.
Responsibilities
- Manage file folders for all job sites, job testing, form templates, spreadsheet and database
- Act professional when speaking with employees, clients, or contractors
- Maintain organized filing systems, data entry records, and ensure all documents are properly proofread and filed.
- Support office management tasks such as calendar management, appointment scheduling, and field notifications.
- Assist in creating invoices with FieldPoint.
- Submit results to agencies within the required timeframe, ensuring accuracy and prompt communication to all parties involved.
- Provide exceptional customer service by addressing inquiries promptly and supporting client or employee, or government agency officials with needs in person, via phone or electronically.
- Perform clerical tasks including typing correspondence, proofreading documents, and creating folders for forms.
- Support field technicians and other members in the department with duties as needed, including being back-up support to cover in times of absences
- Utilize Microsoft Office tools to prepare/audit reports, create emails, spreadsheets, letters with accuracy.
- Contribute to overall office efficiency through excellent organizational skills, time management, and attention to detail.
Experience
- Prior experience in an office environment demonstrating strong clerical skills and familiarity with administrative procedures.
- Proven ability to manage multi-tasks in a fast paced setting
- Familiarity with Great Plains and FieldPoint are preferred but not required.
- Demonstrated strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Strong organizational skills with the ability to prioritize tasks efficiently while maintaining accuracy under pressure.
- Previous personal assistant or office management experience will be considered an asset.

Job Type: Full-time
Pay: $20.00 - $27.00 per hour
