Position Summary
The Administrative Coordinator plays a vital role in strengthening organizational operations, improving donor and client responsiveness, supporting internal financial controls, and increasing leadership capacity by centralizing core administrative functions.
This position supports the daily operations of the Lawton Food Bank through office administration, financial processing support, donor interaction, client intake, volunteer coordination support, and general organizational assistance. The Administrative Coordinator helps ensure smooth, efficient, and professional operations while providing excellent service to clients, donors, volunteers, and community partners.
This individual is highly organized, dependable, detail-oriented, and able to manage multiple responsibilities in a fast-paced nonprofit environment.
Essential Duties & Responsibilities
Administrative & Office Support
- Retrieve and distribute mail and deliveries
- Answer phones, greet visitors, and assist community members professionally
- Maintain office files, records, and administrative documents
- Monitor office supply inventory and coordinate supply ordering
- Assist with maintaining an organized, safe, and welcoming facility environment
- Support daily operations and provide administrative assistance to leadership and staff
Financial & Data Entry Support
- Receive and document checks, cash donations, and invoices accurately
- Prepare bank deposits and maintain deposit documentation
- Enter invoices and financial information into Excel spreadsheets and tracking systems
- Prepare checks and supporting documentation for authorized signatures
- Maintain accurate financial and donor records in accordance with organizational procedures
- Input donations and donor information into the organization’s CRM system
- Support organizational separation of duties and internal financial control processes
Donor & Community Relations
- Welcome and assist donors and community partners
- Provide excellent customer service in person, over the phone, and through email
- Assist with donor acknowledgements and administrative follow-up
- Support fundraising and community engagement activities as assigned
Client Services Support
- Assist in client intake and application processing
- Maintain confidentiality and accuracy of client information
- Provide compassionate and respectful interaction with clients and families served by the food bank
Volunteer Coordination Support
- Assist with volunteer communication, scheduling, and coordination of volunteer shift leaders
- Help support a positive and welcoming volunteer experience
- Maintain volunteer records and assist with volunteer administrative needs as assigned
Facility & Team Support
- Help maintain a safe, organized facility
- Support additional projects and operational needs as assigned
Qualifications
- High school diploma or equivalent required
- Previous office, administrative, bookkeeping, nonprofit, or customer service experience preferred
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office, especially Excel
- Ability to learn CRM/database systems
- Excellent communication and interpersonal skills
- Ability to handle confidential information professionally
- Dependable, flexible, and able to multitask effectively
- Comfortable working with diverse populations and community members
Pay: $35,360.00 per year
