Responsibilities

- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace
- Maintain organized filing systems, including digital documents and physical records, ensuring easy retrieval
- Support office management duties like calendar management, appointment scheduling, and coordinating meetings
- Assist with bookkeeping and basic financial tasks using QuickBooks or similar accounting tools
- Provide customer support by addressing inquiries, providing information, and resolving issues with professionalism
- Perform clerical tasks such as proofreading documents, managing correspondence, and supporting administrative projects
- Ensure the front desk area remains tidy and organized to promote a professional environment
- Support additional roles such as medical or dental receptionist duties as needed, including patient check-in and appointment reminders
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Demonstrated experience in office management or administrative support roles
- Exceptional customer service skills with a friendly demeanor and strong communication abilities
- Familiarity with multi-line phone systems and phone etiquette best practices
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Attention to detail in data entry, proofreading, filing, and record keeping tasks
- Technical proficiency in office equipment such as printers, scanners, and fax machines
- Ability to prioritize tasks using effective time management strategies to maximize productivity
- Previous experience as a medical or dental receptionist is a plus but not required; relevant personal assistant experience is valuable
