Our firm is looking for a versatile, detail-oriented paralegal with a strong work ethic for our Paso Robles office.
Essential functions include those set forth below. Must have advanced Microsoft Office skills, along with excellent written, oral, communication, and interpersonal skills. This position will emphasize estate planning services and general business transactions.
Administrative Support:
Intake new clients, process conflict checks, and set up new client matters; enter and edit attorney billable time through our timekeeping program; complete and route expense reports; schedule and attend meetings and conference calls with clients; and maintain the attorney’s calendar.
Work as a team with other staff members of the firm, aiming to provide the highest possible level of legal services for our clients. The job will include coordinating some general services, such as mail, FedEx, UPS, and U.S. Postal Mail, and running errands.
Document Preparation:
Use word processing and document management software (Microsoft Office 365, including Outlook, PowerPoint, Excel, and Adobe Acrobat DC) to prepare, revise, format, and finalize a wide variety of documents, including estate plans, contracts, correspondence, memoranda, and other legal materials. In conjunction with the preparation of such documents, the paralegal is responsible for proofreading, correctly formatting, and questioning any inconsistencies.
File Maintenance:
Establish and maintain electronic files in compliance with current firm policies.
Customer/Client Service and Teamwork:
Assist partners with client intake interviews and set up fee agreements; take notes during meetings with clients; monitor partner emails; review estate plans to assist partners in preparing for meetings with clients; assist other staff members within the firm whenever necessary to meet firm and client needs; and organize and prioritize workload to enable and facilitate team efforts to accomplish firm and client goals most efficiently. Foster professional, cooperative, and supportive relationships with peers, superiors, and clients. Anticipate and identify clients’ and colleagues’ current and future needs. Share information and offer ideas and solutions in a team environment.
Qualifications & Requirements:
This is a full-time, in-person position. Three or more years of legal secretarial/paralegal experience working in a law firm is preferred, preferably in estate planning, real estate, or transactional law. Highly organized, with the ability to multitask and work in a fast-paced environment. Advanced proficiency in MS Word and document formatting. Proficient in Adobe DC, PowerPoint, and Excel. A current notary commission is a plus.
Pay: $30.00 - $40.00 per hour
