General Description of Position:
We are seeking a dynamic and detail-oriented Events & Sales Coordinator to join our team. The ideal candidate will have a passion for creating memorable experiences, along with strong skills in event planning, customer service, sales, and coordination. The Events & Sales Coordinator is responsible for supporting clients by coordinating and executing events, managing rental space opportunities, and driving revenue through event rentals and sales. This role also includes presenting to potential clients, financial tracking, and supporting overall facility operations.
This role requires excellent organizational skills, the ability to communicate effectively, problem-solving and crisis management skills, leadership, and a knack for upselling a desired guest experience. The Event & Sales Coordinator will support customers with vendor options and logistical guidance for execution, ensuring that each event runs smoothly and meets client expectations. A key function of this position is to generate event-related sales, with performance in these areas regularly measured and reported.
Key Responsibilities:
- Manage budgets, negotiate contracts, and ensure that all expenses align with financial goals
- Serve as the primary point of contact for event space rentals and logistics
- Collaborate with clients to understand their vision and requirements, providing exceptional customer service throughout the process
- Work in coordination with the Operations team to support rental logistics, setup, and breakdown
- Utilize time management skills to prioritize tasks effectively in a fast-paced environment
Sales & Communication:
- Proactively generate sales by promoting and upselling rental space offerings and add-on services
- Present and pitch venue rental opportunities to businesses, organizations, and individuals.
- Work with the Marketing Manager to design strategies that increase event bookings and visibility.
- Advertise rental space opportunities and communicate with potential clients
- Build relationships with vendors to ensure smooth execution of events, in collaboration with the Director of Site Operations
- Maintain a calendar of all events, including external rentals and internal special events
- Trace, measure, and report sales and sponsorship performance regularly. Metrics include the number of leads, conversion rate, repeat customers, and total revenue generated.
- Provide guest services during events to ensure a positive experience for all attendees
- Maintain strong relationships with vendors, venues, and clients to encourage repeat business and referrals
- Creation of attractive narratives and impactful messages, verbally and in writing, to result in rentals
Administrative & Contractual Oversight:
- Oversee all Memoranda of Understanding (MOUs) and agreements for rentals regarding facility use
- Ensure clear communication of rental policies and processes
- Work with the Marketing Manager to develop strategies to promote events and increase attendance through various channels
- Track rental revenue and expenditures for sales purposes
- Metric tracking of results to include, but not limited to: marketing efforts, referrals, and returning customers
Characteristics/Skills/Qualifications:
- Proven experience of at least 2 years in events management or a related field is preferred, preferably in a non-profit or community-focused organization
- Strong customer service skills with a focus on guest satisfaction.
- Excellent communication skills, both verbal and written.
- Strong interpersonal and communication skills, with an ability to build positive relationships with diverse stakeholders
- Ability to upsell effectively to enhance facility offerings
- Experience with budgeting and financial management related to event planning.
- Knowledge of marketing strategies applicable to event promotion
- Time management skills with the ability to handle multiple projects simultaneously
- Prompt and timely communication
- Highly organized, detail-oriented, and able to manage multiple projects simultaneously
- Experience with budgeting and vendor management
- Proficient in Microsoft Office and Google Workspace
- Preferred experience with event management software
- Ability to lift 25 lbs and work flexible hours, including evenings and weekends as required
