Description
We are seeking a Project Administrator I to join our team. In this role, you will support the efficient operation of the jobsite office and provide administrative assistance throughout the project lifecycle. You will work closely with Project Managers, Superintendents, Subcontractors, Vendors, and Accounting to ensure project documentation, communication, and administrative processes are handled accurately and efficiently.

Essential Job Functions
- Record payroll information and daily labor hours, including certified payroll requirements when applicable
- Assist project teams with RFIs, submittals, punch lists, and project closeout documentation, including O&M manuals
- Process monthly pay applications and invoices
- Assist with purchase order creation and issuance
- Enter and maintain project data within project management systems, including daily reports
- Attend project meetings, prepare meeting minutes, and distribute documentation to attendees
- Maintain a professional project image through organized documentation, clear communication, and consistent brand representation
- Manage administrative functions within the jobsite office or project trailer
- Assist with the maintenance and organization of as-built drawings
- Maintain current certificates of insurance and related project documentation
- Maintain accurate subcontract and purchase order logs
- Provide general administrative support, including document preparation, filing, copying, and correspondence
- Track, distribute, and file project forms and documentation as required
- Serve as the primary point of contact for subcontractors, vendors, project site personnel, and accounting teams
- Perform other duties as assigned
Required Skills and Qualifications
- High School Diploma or GED required
- Three or more years of construction administration or related administrative experience preferred
- Experience with Viewpoint software strongly preferred
- Intermediate to advanced proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Strong organizational and time management skills
