Akiva School Operations and Events Coordinator
Akiva School, located in Nashville, Tennessee has an opening for an energetic, innovative, and detail-oriented operations and events coordinator to join our administrative team. Serving students in Kindergarten through 6th grade, Akiva is a vibrant learning community committed to academic excellence in both General and Judaic Studies while helping students grow as confident learners, thoughtful individuals, and engaged members of the world. We are looking for a self-starter who truly believes that each piece of the operations process is foundational to ensuring an efficient and joyful learning environment for our students and staff.
Position Overview:
The successful candidate will have a background in event management, operations, school administration, or a related field; and an interest in working in innovative and collaborative ways with students, colleagues, and parents. A passion for continued learning and problem-solving are a must.
Key Responsibilities
Building and Grounds Coordination Duties (Approximately 40%):
- Oversee the maintenance, safety, and functionality of all physical facilities, grounds, and equipment in a timely and cost effective manner.
- Ensure overall cleanliness and orderliness of the building at all times and especially during tours and any events with guests (including parents) in the building) with attention to the finest details.
- Support custodial and maintenance staff and manage relationships with external vendors and contractors.
- Gather and submit at least 3 unique vendor bids per building/grounds project to ensure budget alignment and adequate completion of timely project needs; ensure timely completion of projects and maintenance.
- Ensure compliance with safety regulations, building codes, and organizational policies.
Operations and Events Coordination Duties (Approximately 30%):
- Lead in organizing and executing school-wide events, including conferences, parent meetings, special ceremonies, and fundraising initiatives, and community functions, with attention to details.
- Coordinate with staff, vendors, and volunteers to ensure successful event outcomes.
- Develop event timelines, budgets, and post-event evaluations.
- Prepare thank you notes for all involved volunteers and staff, as needed.
- Manage all set up and clean up of all events and ensure that each event is completed with the finest attention to detail and customer service.
- Manage event spaces, including setup, breakdown, and technical support.
- Ensure that all events reflect the organization’s brand and mission.
Administrative Coordination Duties (Approximately 30%):
- Provide comprehensive administrative support to the Head of School and leadership team.
- Manage the HOS's calendar and meetings, travel arrangements, appointments, etc (coordinating with staff and external parties; preparing relevant documents for meetings, classes, etc)
- Answer and direct phone calls, draft letters and memos on behalf of the HOS, as needed, and share information with relevant stakeholders.
- Manage orders connected to curricular and/or educational materials.
- Maintain positive relationships with all members of the school community.
- Respond to all emails within 24 working hours to ensure continued smooth functioning of the school.
- Maintain the privacy of sensitive information related to school operations and personnel.
- Maintain, update and create documents connected to safety and security and run safety and security drills.
- Assist with preparing materials for board meetings, managing board member communication, and following up on action items.
- Support the HOS with special projects, including data collection, analysis, report preparation, and implementation of new initiatives.

This is a year-round position; general hours are M-F from 7:30 - 4:00 pm, but some evening or weekend work may be required (flex time will be offered for these instances).
Qualifications
- Education: Bachelor’s degree in Administration, Operations, Events Management, or Education field preferred.

Compensation
Equitable Salary band based on experience. The salary range is $50,000-$75,000 plus health and retirement benefits.
