Legal Administrator
Advanced Recovery Group (ARG) is a nationally recognized commercial collections agency specializing in Merchant Cash Advance (MCA), commercial lending, factoring, and business-to-business debt recovery. We represent financial institutions and commercial clients nationwide, providing strategic pre- and post-judgment recovery solutions.
We are seeking a highly organized and detail-oriented Legal Administrator to support our legal department. This position plays a critical role in managing legal workflows, maintaining case files, coordinating with attorneys and vendors, tracking litigation deadlines, and ensuring the efficient administration of commercial litigation matters from intake through post-judgment enforcement.
Responsibilities
- Open and organize new legal files and maintain accurate electronic and physical case records.
- Review incoming legal documents for completeness and accuracy prior to attorney review.
- Prepare legal packets and supporting documentation for litigation referrals.
- Coordinate with outside counsel regarding case assignments, status updates, and required documentation.
- Monitor court deadlines and maintain litigation calendars.
- Track all active lawsuits, judgments, domestications, and post-judgment enforcement actions.
- Upload and maintain legal documents within the firm's case management system.
- Prepare affidavits, correspondence, settlement documentation, and other legal forms as directed.
- Request and organize supporting documentation, including contracts, payment histories, wire confirmations, UCC filings, and account records.
- Assist with preparing files for:
- Summons & Complaints, Default Judgment, Summary Judgments, Executions and Post-Judgment Enforcement
- Coordinate service of process with process servers and vendors.
- Monitor service attempts and follow up on outstanding affidavits of service.
- Communicate with courts, sheriffs, process servers, filing vendors, and outside counsel regarding case status.
- Maintain detailed notes and updates within the firm's case management software.
- Generate legal reports and provide status updates to management.
- Assist attorneys with legal research and special projects as needed.
- Ensure compliance with company procedures and applicable legal requirements.
- Perform other administrative and legal support duties as assigned.
Qualifications
- Associate's or Bachelor's degree preferred.
- 2+ years of administrative experience; legal or litigation experience preferred.
- Commercial collections, creditors' rights, or civil litigation experience is a plus.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with legal case management software is preferred.
Preferred Qualifications
- Experience in commercial collections or creditors' rights.
- Familiarity with civil litigation procedures.
- Knowledge of court filing processes and service of process.
- Experience coordinating with outside counsel.
- Understanding of post-judgment enforcement procedures.
- Experience working with UCC filings, judgment domestications, and litigation support.
