The Assistant must be able to balance multiple projects and changing priorities during stressful situations without losing focus. Strong organizational and computer skills are essential and familiarity with the language of sports is preferred.

General Purpose:
To provide administrative support for the planning, direction, implementation and assessment of the Athletic programs at Hanover High School.
Reports to:
Director of Athletics

POSITION DUTIES AND RESPONSIBILITIES:
Under the direction of the Athletic Director, the Administrative Assistant will:
Facilitates Office Operations with the following tasks:

Work with students, parents, faculty, administrators, officials and members of the community as part of the Athletic Office team.

Maintain the athletic department master schedule of all home and away athletic events including practices.
-
Coordinate and generate all NHIAA and/or District paperwork as required.
-
Organize and update the Hanover Athletics website including posting rosters and revising schedules.
-
Coordinate with coaches all transportation for athletic programs, including dismissal times and rescheduling when needed.
-
Schedule game officials and necessary game-day staff and ensure they are paid on time.
-
Compose and communicate alerts and messages to students, families, and the public regarding schedule changes.
-
Coordinates athletic registration for student-athletes and coaches.
-
Providing support to the athletic director and coaching staff during tournament time - timely submission of tournament rosters, photos, entry fees, and paperwork.

Manage daily financial functions for the Athletic Department. This includes but is not limited to:
-
Assist the athletic director with tracking the athletic department budget.

Review and verify payments to outside vendors.
-
Responsible for all accounts payable and receivable activity for the Athletic Department.

Manage Student Activities account(s) as assigned by Administration. Ensure appropriate use of account(s); collect deposits and record fund-raising revenues ensuring accuracy of funds and proper accounting of revenues; arrange payments from account(s).

Provide support to the Athletic Director and coaching staff as needed. This includes, but is not limited to:

Submission of tournament fees and paperwork
-
Assist with NHIAA athletic eligibility forms
-
Reporting event scores
-
Assist the coaching staff with the allocation of uniforms and equipment before the season and inventory at the conclusion of each season.

Awards and banquets
-
Operate and oversee the maintenance and supplies of all athletic equipment.

Act as game-day administrator at home games during the school year as needed.
General Responsibilities:

Maintain records regarding coaches, team rosters, transportation, vendors and officials.

Generates and maintains required forms.
-
Sort and process incoming department mail and materials.
-
Answers incoming telephone calls. Forwards calls and messages in a professional manner.

Performs all duties in a professional and appropriate manner while interacting with students, parents, faculty, administration and co-workers. Expectations are that athletic office visitors will be assisted promptly, positively, and politely.

Perform other duties and accepts responsibilities as assigned.

Must comply with all SAU 70 District policy and building / department rules, procedures, practices and objectives.
