Operations & Communications Coordinator

Compensation: $28 to $34 per hour based on experience

Position Summary
Indigena is seeking an organized, proactive, and highly collaborative Operations & Communications Coordinator to support the communications, human resources, administrative, and operational functions of the organization.
This position plays a key role in fostering communication and organizational alignment between our parent nonprofit, NATIFS, and its subsidiary, Ghost Dancer, LLC, the for-profit entity that operates our restaurants and concessions. The Coordinator helps ensure information is communicated clearly and consistently across teams, supports employees throughout their employment experience, maintains effective administrative systems, and helps advance organizational priorities through thoughtful coordination and communication.
The ideal candidate is a strong communicator and project coordinator who enjoys creating structure, improving organizational effectiveness, and supporting a mission-driven hospitality organization.
Key ResponsibilitiesCommunications & Organizational Coordination
● Serve as a central communication resource for Indigena staff, leadership, Indigena, and NATIFS teams.
● Coordinate and distribute internal communications, including staff announcements, policy updates, training materials, and organizational updates.
● Support employee engagement and organizational culture through clear and consistent communication.
● Coordinate leadership meetings, staff meetings, and cross-departmental communications.
● Maintain organizational calendars, contact lists, communication platforms, and shared resources.
● Assist with creating and updating operational documents, training materials, employee communications, and organizational resources.
Administrative & Operational Support
● Provide administrative support to leadership, meeting coordination, project tracking, and document management.
● Maintain organized digital and physical filing systems.
● Assist with operational reporting, recordkeeping, and special projects.
● Coordinate office and administrative supply needs.
● Assist with maintaining compliance-related records, permits, licenses, and required documentation.
Human Resources & Employee Support
● Support employee onboarding and offboarding processes, including new hire paperwork, orientation coordination, and personnel file management.
● Maintain confidential employee records and employment documentation.
● Assist leadership with employee communications, policy updates, and workplace announcements.
● Coordinate with the Human Resource and Leadership team regarding administrative and HR-related protocols.
● Maintain strict confidentiality of employee and applicant information across all entities, accessing and handling personnel and medical records only as authorized and in accordance with applicable privacy and recordkeeping requirements.
Other
● Performs other duties as assigned to support Indigena, NATIFS, and affiliated operations.
Qualifications
Required
● Two or more years of experience in administration, communications, human resources, operations support, or a related field.
● Strong written and verbal communication skills.
● Excellent organizational and project coordination abilities.
● High attention to detail and accuracy.
● Ability to manage multiple priorities and deadlines in a dynamic environment.
● Proficiency with standard office software, (Microsoft Office/Google Workspace) and the ability to learn new platforms quickly.
Preferred
● Experience in hospitality, restaurant, nonprofit, or mission-driven organizations.
● Experience supporting internal communications, employee engagement, or organizational culture initiatives.
● Familiarity with HR administration, employee onboarding, scheduling software, and employment record management.
● Experience working across multiple departments or organizational entities.

Physical Demands & Work Environment
● Work is primarily performed on-site, in an office setting.
● Regularly requires sitting and working at a computer for extended periods, with frequent use of phone keyboard, and standard office equipment.
● Occasionally requires standing, walking, reaching, bending, and lifting or carrying up to 40 pounds.
● May required occasional movement between work areas, meetings, and other company operations.
Compensation & Schedule
● $28 to $34 per hour based on experience.
