As the Registrar Clerk, you will be the welcoming first point of contact for students and families navigating enrollment, registration, and academic questions — helping ensure every student's transition into (or through) our school is smooth, accurate, and supported.
Essential Duties
The duties specified below are representative of the range of duties assigned to the job code/class and are not intended to be an inclusive or exhaustive list.
As the Registrar Clerk, you will:

Process new student registrations, transfers, and re-enrollments, ensuring all required documentation (proof of residency, immunization records, prior transcripts, etc.) is collected, verified, and accurately entered into the student information system

Serve as the first point of contact for incoming families, guiding them through enrollment steps, school policies, and academic program options with warmth and clarity

Respond to students and families who arrive with questions or concerns about academic standing, schedules, credits, or progress — listening carefully and directing them to the appropriate next step or staff member

Act as the primary liaison between the front office and the academic counseling team, relaying student needs, scheduling concerns, and follow-up items in a timely, organized way

Maintain accurate, up-to-date, and confidential student records in compliance with district and state requirements (e.g., FERPA)

Coordinate with academic counselors to track incoming students' course placement, transcript evaluation, and any gaps in academic history
-
Communicate registration timelines, required documents, and deadlines clearly to families, including those who may be unfamiliar with the enrollment process (e.g., new-to-district, new-to-country, or transferring families)

Support daily front-office operations, including phone and in-person inquiries, filing, data entry, and coordination with school administration

Escalate sensitive or complex academic/family situations to the counseling team or administration promptly and appropriately

Coordinate and communicate with case managers and representatives from outside agencies (e.g., Child Protective Services, law enforcement, and community-based organizations) to support student enrollment, records requests, and continuity of care, while maintaining appropriate confidentiality

Work collaboratively as part of a broader team of clerks and family liaisons, in service of the overall success of the school

Outstanding organizational skills and exceptional attention to detail, particularly with student records and documentation

The ability to identify challenges and proactively find solutions, while maintaining a bigger-picture lens and focus on what can be delivered

The ability to learn quickly and adapt in a fast-paced, front-facing environment

Effective written and verbal communication skills, with the ability to clearly explain enrollment and academic processes to a variety of audiences, including families with limited English proficiency or unfamiliarity with the school system

Strong interpersonal skills and the ability to build effective working relationships with academic counselors, teachers, administrators, and families

Ability to work effectively in situations involving confidential and sensitive student/family matters

Cultural competency and sensitivity when working with diverse student and family populations

Strong computer skills including student information systems, Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and GSuite (Google Docs, Slides, Sheets, Forms)
Minimum Qualifications
Education & Experience
Two (2) years of verifiable clerical experience including at least one year at a level comparable to a 1424 Clerk Typist. Experience must have included data entry, preparing and maintaining a wide variety of documents and reports, public contact, checking and reviewing documents for completeness, and performing mathematical computations. Working as a sales clerk or restaurant help does not qualify.
Substitution
A recognized clerical training program of 240 hours or the equivalent of 15 semester units in graded clerical college units may substitute for up to 6 months of experience.
