About the role
The Ferguson campus doesn't run on good intentions. It runs on systems, schedules, vendor contracts, work orders, and someone who makes sure all of it is tracked, organized, and moving. That someone is the Facilities Administrative Coordinator.
This role supports the Facilities Asset Manager directly. You'll handle the administrative and operational backbone of the campus: keeping work orders flowing, vendors coordinated, documents current, and communications clear. The campus is mid-redevelopment, which means the pace is real and the detail work matters.
This is a full-time, on-site role in Ferguson.
What you'll do
- Manage work order intake, routing, and follow-through using the campus CMMS platform, making sure nothing slips between the cracks
- Coordinate vendor scheduling, access, insurance certificates, and documentation for service contractors and specialty trades
- Support operating and capital budget tracking: pulling reports, logging expenses, flagging variances, and keeping records accurate
- Draft and distribute tenant communications related to maintenance, construction activity, and campus operations
- Maintain organized records for permits, inspections, service contracts, warranties, and compliance documentation
- Assist with on-site contractor coordination, including access logs, sign-ins, and scheduling during active construction phases
- Prepare meeting notes, status updates, and reporting summaries for the Asset Manager and ownership team
- Handle procurement support: sourcing supplies, processing purchase requests, and tracking vendor invoices
What you bring
- 2+ years in a facilities, property management, or operations administrative role
- Comfort working in a fast-moving environment where priorities shift and no two days look the same
- Strong organizational skills and high attention to detail, especially in document and record management
- Experience with CMMS platforms, property management software, or equivalent operations tools
- Clear written communication, whether you're drafting a tenant notice or a vendor email
- Ability to work independently and follow through without hand-holding
- Familiarity with basic budget tracking and invoice processing is a plus

Pay: $60,000.00 - $70,000.00 per year
