As we begin our next chapter in the United States, ICS will play a key role in delivering high-quality industrial cooling tower solutions and supporting customers throughout North America. We are seeking a highly organized and proactive Finance & Operations Coordinator to help build the operational foundation of our U.S. business.

Position Summary
The Finance & Operations Coordinator will support the day-to-day financial and operational activities of ICS. This position serves as a key liaison between customers, suppliers, our external accounting firm, and our parent company in Japan to ensure efficient business operations and accurate financial administration.
This role is ideal for someone who enjoys working across multiple functions, coordinating with different stakeholders, and helping establish processes within a growing organization.
Key Responsibilities
- Coordinate documentation with suppliers, including Purchase Orders (POs), invoices, and other commercial documents.
- Coordinate documentation with customers, including Purchase Orders (POs), invoices, and project-related documentation.
- Serve as the primary liaison with the external accounting firm by preparing and providing the documents and information required for bookkeeping and financial reporting.
- Coordinate with the parent company in Japan by preparing and sharing information required for consolidated financial reporting, cash management, and internal reporting.
- Maintain project tracking data, including monitoring sales and purchasing progress using internal project management and budget tracking tools.
- Prepare payment requests, including vendor payments and employee expense reimbursements.
- Support the preparation of operational reports and financial documentation.
- Assist in developing and improving administrative and operational processes as the U.S. business continues to grow.
- Perform other administrative and operational duties as needed.

QualificationsRequired
- Bachelor's degree in Business Administration, Finance, Accounting, Operations, or a related field, or equivalent professional experience.
- 3+ years of experience in finance, operations, business administration, project coordination, or a similar role.
- Strong organizational and time management skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Excel.
- Ability to manage multiple priorities in a fast-paced environment.
- Authorized to work in the United States.
Preferred
- Experience working with ERP or accounting systems.
- Experience coordinating with external accounting firms or financial service providers.
- Experience working in an international or multicultural business environment.
- Experience supporting manufacturing, engineering, construction, or industrial businesses.
- Experience working with Japanese companies or collaborating with overseas headquarters is an advantage, but not required.
