We are seeking a full-time Submission Specialist to join our growing NGC Operations team. This role is responsible for processing high-volume coin submissions from dealers, collectors, and Mint partners. The Submission Specialist serves as an operational partner to the Key Account team by ensuring submissions are accurately prepared, documented, and routed through the operation process.
This position is primarily focused on submission processing, data accuracy, workflow management, and operational excellence.

WHAT YOU WILL DO AS A SUBMISSION SPECIALIST
- Process high-volume coin submissions from dealers, elite collectors, and Mint partners.
- Review submission paperwork for completeness, accuracy, and compliance with service requirements.
- Create, update, and maintain submission records within company systems.
- Generate labels and other required documentation to support grading operations.
- Verify customer instructions, service selections, and special handling requests.
- Identify discrepancies and escalate issues to the appropriate Key Account Associate or manager.
- Prepare submissions for efficient movement through Verification, Grading, Encapsulation, and Shipping.
- Prioritize work based on turnaround commitments and operational deadlines.
- Support overnight processing goals to ensure submissions are ready for next-day operations.
- Partner with internal departments to ensure accurate and timely order completion.
WHAT MAKES YOU THE IDEAL CANDIDATE
- 2+ years of experience in operations, order processing, inventory control, logistics, manufacturing support, or a related field.
- Experience handling coins, collectibles, or other high-value items preferred.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently and efficiently in a night-shift environment.
- Excellent organizational and time-management skills.
- Strong problem-solving skills and the ability to identify and escalate issues appropriately.
- Comfortable working within ERP, CRM, and workflow management systems.
- Ability to manage multiple priorities in a fast-paced production environment.
- Team-oriented mindset with a focus on supporting operational and customer service goals.
- High School Diploma or equivalent.
