FUNCTION: The scheduler’s function is to coordinate home health care services for clients including scheduling all client home visits and following up on client and home health therapeutic cancellations. **The scheduler answers incoming agency telephone calls and enters all scheduling activities in the computer software program. The scheduler provides the home health therapists with client specific information prior to client care. The duties and responsibilities of the Scheduler are listed below. All of the following duties are essential unless otherwise noted:
SUMMARY OF RESPONSIBILITIES: • Highly Organized • Must report to work on schedule. Dependability, regular attendance and punctuality are essential job requirements • Schedule home health therapists (PT,OT,ST) to clients within close proximity of each other • Answers all incoming telephone calls and directs them appropriately.• retrieves phone messages and forward them accordingly • Maintains patient confidentiality and agency records • Receives daily report and assignments from supervisors • Carry out and follow all facility personnel guidelines and company procedures.• Complete the schedule for PT, OT, & ST• Complete exception reports for payroll.• Keep record of all call-ins. • Keep record of each employee’s vacation and personal days.• Track evaluation/re-evaluation dates • Track the number of authorized visits/treatment units remaining •Track beginning and ending certification periods • Perform all other duties as assigned by supervisors • Monitor/Schedule clients' visits to maintain continuity of care •
QUALIFICATIONS: Two years or more experience in Home Health / Clinic Scheduling is a MUST!!! Fluent in Spanish: Speaking, reading and writing is a MUST !!!Associates Degree or higher and/or 5 years + in Home Health Scheduling can be substituted. Must have the ability to work professionally and interact with people in a courteous manner. Must have the ability to exhibit an empathic attitude towards children, the sick, elderly and disabled. Must have the ability to work under stress and adapt to changing conditions. Have working knowledge of Houston area zip codes and schedule home health therapists to clients no more than a (10) mile radius of each other. Must have the ability to prioritize responsibilities effectively.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Must possess the ability to type 35 wpm. This position requires strong written and communication skills with the ability to communicate effectively with all levels the organization. The ideal candidate must be a self-starter with proven follow-through skills and have an intermediate skill level with Microsoft Outlook, Microsoft Excel and Microsoft Word.
Additional InformationAccess to Protected Health Information. This position will require the employee to handle Protected Health Information (PHI) for duties related to provider credentialing, complaints and grievances, claims issues, medical management issues and risk and compliance issues. Access to PHI contained in the claims, Medical Management and provider credentialing systems is necessary for this staff member.
