Overview:
The Maintenance Supervisor is responsible for the day-to-day maintenance operations, managing all installations, repairs, and general upkeep of our company’s residential and commercial properties. Your duties will include, but are not limited to, maintaining machinery, planning repair activities, training (safety & operations) and developing maintenance procedures. The Maintenance Supervisor will communicate daily with the Facilities Director and follow and ensure adherence to the company's policies and procedures.
Duties and Responsibilities:

Supervises all maintenance personnel including the Superintendents, Porters and Journeyperson Porters

Monitors scheduling tenant requests by the Work Order Dispatcher

Completes routine inspection of properties including grounds, building envelope, interior hallways, and all common areas to ensure performance by Superintendents and Porters, and to identify and resolve problems

Plans and manages all repairs and installation activities

Execute on-site supervision of maintenance personnel as needed

Monitors and inspects work of third-party contractors upon job completion

Creates work orders in the company’s SiteCompli database, and oversight of open work orders to ensure timely repairs are performed in residential units

Creates and receives purchase orders in the company’s Yardi database

Approves vendor invoices for payments based on timely and adequate completion of work by vendors

Maintains equipment stock and places orders for supplies as needed

Assesses work needed to turn over apartments for re-rental

Coordinates repair work for violations received from HPD, and upon completion of repairs, certifies correction of violations in HPD’s E-Certification portal

Monitors contractors’ timely performance of contracted work

Collaborates with the Facilities Director on employee selection and training

Executes all new hire safety training and initial site walk-throughs

Interfaces with the finance department and property management as needed

Submits payroll reports to Facilities Director for approval, then to HR/Payroll Manager on a timely basis

Communicates employees’ issues to Facilities Director to collaborate on resolution

Documents and prepare routine reports and maintenance logs for the Facilities Director to review

Evaluates employees’ performance for all staff under the Maintenance Supervisor’s supervision

Collaborate with the Facilities Director on annual written evaluations (Performance Appraisals)

Provides progressive discipline with documentation as needed - steps include verbal discussion and coaching, written warning, and disciplinary action up to and including termination

Completes tasks and duties listed above and others, as assigned and needed.
Requirements, Qualifications, Skills:

A high school diploma/equivalent required with 3 years of maintenance experience; without a diploma, you must have 5 years of relevant experience in maintenance

Minimum of 1 year experience in Maintenance Management required

A good understanding of the technical features of plumbing, HVAC, sprinklers, electrical and boilers systems (licenses and certifications preferred, but not required)

Experience with employee engagement, training and development

Previous experience in managing residential property is preferred

Excellent analytical and problem-solving skills

Ability to identify issues and determine repairs that are needed

Ability to plan maintenance schedules for building systems

Excellent management, organizational, leadership, and supervisory skills

Exceptional communication and interpersonal skills

Proficient with Microsoft Office Suite or similar software

Knowledge or proficiency of Yardi Property Management Software (version 7S) preferred, but not required

Must be able to walk and travel to properties to diagnose building issues and plan repairs or maintenance

Must be physically able to perform repairs when needed

Prolonged periods of sitting at a desk and working on a computer

Must be able to lift 25 pounds at a time
