We're a licensed CPA firm in Greenwood Village serving construction and real estate businesses across the Denver metro. A large share of our clients are Spanish-speaking business owners who have never had an accountant who could really talk with them — about their books, their taxes, their business — in their own language. We're building a firm that serves those clients at the same technical level as anyone else, and we need someone who can be the first voice they hear.
The role
You'll be the coordination center of the firm. You'll own the client experience from the first phone call through the delivered tax return: answering and making calls, managing the document intake pipeline, preparing proposals, sending invoices and following up on payment, tracking e-filings, and making sure nothing falls through a crack. You'll do light tax data entry, keep our online presence sharp, run the office, and handle mail and document pickups around the metro.
This is not a front-desk job. You will talk to clients about their money, follow up on what they owe us, and be trusted with information that matters. It's a real seat with room to grow into a Firm Administrator role.
What you'll do
- Answer client calls and email; call clients, vendors, and agencies including the IRS and Colorado Department of Revenue
- Run tax season intake and delivery: track documents in, chase what's missing, assemble and deliver finished returns
- Prepare proposals and engagement letters using our pricing tools
- Send invoices and manage collections
- Track e-file submissions, acknowledgments, and rejections
- Light tax preparation support: data entry, organizer input, document indexing
- Monitor and respond to Google reviews; keep our online presence accurate
- Keep the office stocked and running; handle postage and shipping
- Pick up mail from our Littleton office and documents from client sites
- Coordinate the Managing Principal's calendar
What we need
- Fully bilingual, English and Spanish — spoken and written. You'll write client emails and proposals in both. We will test this in the interview.
- 2+ years in a client-facing administrative, bookkeeping, or professional services role
- Comfort with numbers and deadlines; genuine attention to detail
- Willingness to make a collections call without flinching
- Valid Colorado driver's license, reliable insured vehicle, clean driving record
- Availability for extended hours January through April
Nice to have
- Prior experience in a CPA, bookkeeping, or tax office
- Familiarity with Lacerte, QuickBooks Online, or similar
- Experience with construction or real estate clients
Compensation $27.50 - 31.25/per hour, depending on experience. Overtime paid at time-and-a-half during tax season, plus a completion bonus paid after the season closes.
