Job Position Description:
Join our dynamic team as a Project Coordinator specializing in fire and water restoration! In this energetic role, you will be the vital link ensuring seamless project execution from start to finish. Your expertise will drive efficient project planning, scheduling, and coordination across multiple restoration projects, helping clients recover quickly and confidently. Ensure customer files contain proper documentation, and office team is competent and effective in all administrative tasks. Responsibilities:
· Coordinate project timelines and schedules for restoration, pack outs, mold and fire services
· Facilitate communication with adjusters and proposed estimates in Xactimate
· Complete and edit estimates for audits
· Manage communications with clients and project teams
· Create invoice packages sent to insurance carriers for payment
· Participate in team meetings and discuss project updates
· Collaborate with project managers, contractors, clients, and vendors to ensure timely delivery of project milestones while maintaining high standards of quality and safety
· Develop detailed project schedules and track progress using construction scheduling tools
· Support project management efforts by analyzing data for cost control, gather documentation for insurance claims, risk mitigation, and efficiency improvements while ensuring compliance with industry standards
Qualifications/Skills:
· Proficient using Xactimate & Symbility/Mobile Claims estimating platforms
· Experienced in XactAnalysis, Claims Connect, MICA/Mitigate, Dash software platforms
· Experience with program work from all major insurance carriers and TPA’s
· Understanding of safety guidelines and ability to manage them on site and while traveling
· IICRC certified in ASD, WRT and AMRT
· Proven experience as a back-office assistant, office assistant or another relevant administrative role in property restoration or construction
· Focus on personal development, team building, and leadership skills is essential
· Attention to detail, aptitude for multitasking and calm under pressure
· Thorough understanding of office management procedures
· Excellent organizational and time management skills
· Ensure clear communication with entire staff, ability to manage relationships
· Aptitude with record keeping, easily accessing information, and communicating ‘the message’
· Awareness and respect for safety, using care are caution with teammates and customers
· Strength with multitasking and handling deadlines, organizational and leadership skills
· Ability to learn quickly and flexible with change and professional challenges
· Proficient in MS Office, Dash, MICA/Mitigate, Xactimate and DocuSketch
