Speaker Coordinator

Native Nation Events is a national conference company that thrives on providing networking and educational experiences through its events and training. We are immediately seeking a Full-Time Speaker Coordinator. The ideal candidate should be exceptionally organized and possess the willingness and desire to learn about and stay ahead of current trends and hot topics affecting the marketplace to ensure the success of the conference.
Speaker Coordinator/Associate Producer Job Duties Include:
- Research target markets and hot topics in the industry to write agenda panel descriptions and create all-conference agendas.
- Generate and take note of all leads discovered while researching - both speaker and sponsor leads. Develop a speaker spreadsheet and sponsor spreadsheet for each conference.
- Layout conference agendas in Canva and post them on the company website.
- Send out speaker invitations for appropriate panels.
- Follow up with speaker invitations through emails and phone calls.
- Create a Confirmed Speaker Spreadsheet with all speaker details and contact information.
- Manage all confirmed speakers - send confirmation message and speaker guidelines, request speaker headshots and bios, add speakers to agendas, answer any questions speakers may have, etc.
- Work with the Sales Team to add professional speakers and moderators to specific agenda panels.
- Update the company website every time the agenda is changed and communicate agenda changes to all staff members.
- Communicate with all-conference speakers prior to the event and provide panelists contact information for one another so they can coordinate the discussion and speaking roles.
Job Requirements:
- Strong Command of Microsoft Office - Excel, Word, and Outlook
- Must be able to travel to approximately 7-10 events per year
- Must be comfortable with public speaking (i.e. speaker introductions at events)
- Research and writing experience is key
- Must be comfortable making initial communication and follow-ups
- Excellent verbal, written, and interpersonal communication skills
- Attention to detail, accuracy, and thoroughness is critical for success
- Must be comfortable working on the phone and have a pleasant phone manner
- Ability to multitask and complete tasks to meet deadlines
- Must have at least 1 (one) year of experience
