Job Summary
The Student Services Coordinator at Epic Flight Academy plays a vital role in promoting student success by providing exceptional support services, maintaining accurate student records, and ensuring compliance with institutional, accreditation, and regulatory requirements. This position is responsible for enhancing the overall student experience, streamlining administrative processes, and fostering a positive and supportive learning environment for both domestic and international students. Success in this role requires strong attention to detail, excellent organizational and communication skills, and the ability to effectively manage multiple systems, priorities, and compliance-related responsibilities.
Key Responsibilities
- Maintain accurate and up-to-date student records, accreditation files, and academic transcripts.
- Conduct regular audits of student documentation within the flight tracking system to ensure accuracy, regulatory compliance, and timely enrollment into subsequent training courses.
- Monitor and follow up on students with negative account balances, expired documentation, or outstanding requirements.
- Audit student schedules to ensure alignment with accreditation standards, training requirements, and expected program completion timelines.
- Review and verify TSA and SEVIS documentation to ensure all training requests are accurate, complete, and compliant with applicable regulations.
- Facilitate new student orientation and prepare incoming classes for enrollment by auditing and completing all required student file documentation.
- Support students utilizing educational loans by assisting with loan processing, document management, and disbursement procedures.
- Administer the student identification badge program, including badge creation, distribution, and record management.
- Conduct course completion and exit interviews, documenting relevant information within the Enrollment Tracking Application (ETA) system.
- Serve as a primary point of contact for students, providing guidance and support regarding academic, administrative, and personal concerns as appropriate.
- Resolve scheduling discrepancies and communicate updates to students in a timely and professional manner.
- Respond to student inquiries and maintain effective communication with parents and guardians when appropriate.
- Coordinate with the Scheduling Department regarding student leave requests, schedule modifications, and training adjustments.
- Process and manage both short-term and long-term leave requests in accordance with institutional policies.
- Perform additional duties and responsibilities as assigned by management to support departmental and organizational objectives.
Qualifications
- Bachelor’s degree in Business Administration or related field recommended
- Strong organizational and multitasking skills
- Excellent communication abilities
- Familiarity with enrollment processes and marketing strategies
Physical Demands
- This is primarily a sedentary role with occasional need to move around the office.
- May require occasional lifting of office supplies up to 20 lbs.
Work Environment
- Professional environment within the flight academy.
- Interaction with executives, staff, external partners, and incoming students.
- While performing duties of this job, the employee will be working with domestic and international students. The employee must demonstrate cultural and religious sensitivity at all times, including in off-duty hours and at Epic and its partner locations.
