Tarpon Specialty Services is seeking a Bilingual Payroll & Workforce Coordinator to manage end-to-end weekly payroll for a growing skilled trades staffing operation supporting construction, manufacturing, shipbuilding, and industrial projects across Texas. This is a central, high-accountability role — you'll be the primary payroll resource for employees, subcontractors, and clients alike.
Process weekly payroll using QuickBooks and ADP across multiple job sites and up to 10 subcontractor entities
Receive, review, and reconcile employee timesheets every Monday — verifying regular time, overtime, per diem, and all payroll adjustments for accuracy
Serve as the primary payroll resource for Spanish-speaking employees — assisting with pay stubs, direct deposit setup, payroll questions, and online portal navigation
Prepare weekly payroll cost reports for the accounting department
Track employee attendance, tardiness, absences, per diem eligibility, and payroll exceptions
Maintain accurate employee rosters, job assignments, and confidential workforce records
Coordinate with client payroll departments to resolve discrepancies and timekeeping issues in a timely manner
Ensure payroll is processed accurately and on schedule — every week, no exceptions
Fluent in both English and Spanish — required
Demonstrated experience processing payroll through QuickBooks and ADP
Advanced proficiency in Microsoft Excel, Outlook, Teams, and the Microsoft Office Suite
Strong analytical and problem-solving skills with exceptional attention to detail
Ability to manage multiple deadlines simultaneously in a fast-paced environment
Professional communication and customer service skills — comfortable supporting field employees and client contacts alike
Payroll experience in industrial staffing, construction, manufacturing, or shipyard environments
Multi-company or multi-site payroll administration
Prevailing wage, per diem administration, overtime calculations, and certified payroll
Familiarity with Davis-Bacon wage requirements
Experience coordinating with multiple subcontractors and client payroll departments
