Programs and Operations Coordinator
Preferred Experience:
-A minimum of 5 years of experience working with organizations with minimal supervision.
-Nonprofit experience preferred.
-Bachelor's degree preferred.
-Experience with all office systems and processes.
-Experience with accounting and financial oversight processes or systems preferred.
-Experience coordinating events or other programs preferred.
-Experience with social media, all Google applications, Canva, Mailchimp, Wix, Eventbrite, and other technical skills is preferred.
-We are seeking a “Generalist” with experience in administration, development, program and event planning, technology, marketing and grant writing. While all of these skills are not required, all experience in these fields is a major plus.
Location: Primarily remote, with some in-person work required for events, board meetings, etc. Candidate must be local to Los Angeles County.
Program Coordinator Duties:
-Connect interested parties, partners, and patients
-Work closely with founder and board, oversee programming outcomes and implementation
-Manage the annual Women’s Heart Symposium and quarterly Hearthside Chats
-Women's Heart Symposium (WHS): Coordinate all event planning, including working closely with hotel and outside AV team (can be remote); Event Manager on the day of event and day prior (must be in-person); Logistics: Manage event RSVPs and other guest logistics, Coordinate mailings and communications, Transport and set up materials at Hotel Casa del Mar (Santa Monica) the day prior to event
-Hearthside Chats (HSC): Coordinate all event planning, including working with AV team, location host, and guest speakers (can be remote); Event Manager on HSC shoot date (several per year, must be in-person)
Operations/Development Coordinator Duties:
-Work closely with founder and board in all facets of organization and program management
-Support founder with ad hoc tasks as needed
-Implement and oversee all backend operations, systems and accounts
-Help secure sponsors for WHS and HSC
-Draft solicitation materials, outreach to prospective sponsors/donors, track responses
-Donor/Sponsor communication and acknowledgements
-Potential donor meetings and presentations
-Communications and Marketing: Manage and update mailing lists via Google Sheets and Mailchimp; Manage all inquiries, emails and calls; Manage all social media accounts, and newsletter and website design
Accounting Assistance Duties:
-Work closely with founder and accountant for organizational financial oversight.
Start Date: As soon as possible
Compensation: Part-time, 15-25 hours/week, $25/hour
This position may provide opportunities for future growth or full-time employment.
Benefits: $100/month healthcare reimbursement. Flexible, primarily remote schedule.
Vacation and PTO: Sick time as needed, flexible schedule, 2 weeks vacation/year. Please note that vacation time will not be available for the month preceding WHS, held in February each year. Must be available to work on all future WHS dates.
This will be HAHSAH's second ever paid staff position, previously having run solely on the volunteer time of its founder and board of directors from inception-2022.
