Job Title: Front Desk Coordinator (Full-Time)

Job Summary:
Verve Behavioral Health is seeking a dedicated and organized Front Desk Coordinator to join our multidisciplinary team at our intensive outpatient treatment facility. In this role, you will be responsible for managing front desk operations, performing administrative tasks, and ensuring effective communication of client responses and behaviors with our clinical team. This position is ideal for someone who thrives in a supportive environment and is passionate about helping individuals on their recovery journey.
Key Responsibilities:
- Greet and welcome clients and guests in a friendly and professional manner.
- Maintain office security by following safety procedures and controlling access through the reception desk.
- Keep the reception area tidy and presentable at all times.
- Handle mail and package deliveries daily.
- Assist in client admissions, including safety tours, initial assessments, consent forms, and releases.
- Coordinate communication with client pharmacies as needed.
- Manage client daily attendance and maintain the Medical Director's schedule.
- Ensure completion and delivery of clients' weekly schedules.
- Communicate with other facilities to request client medical records.
- Notify the primary therapist or clinical director immediately of any client safety concerns.
- Provide milieu management support and manage the company’s data dashboard.
- Participate in weekly supervision and other Verve program and recovery community activities.
- Ensure physical facility safety through regular checks and follow emergency procedures.
- Manage daily lunch orders for PHP clients and monitor facility inventory, updating spreadsheets and ordering supplies as needed.
- Perform other administrative duties as assigned by the Director of Operations.
Qualifications:
- 1+ years of experience in an intensive outpatient or residential treatment setting (preferred).
- 1+ years of experience in a clerical or administrative role (preferred).
- Ability to handle sensitive information with confidentiality and professionalism.
- Strong organizational and communication skills.
- Familiarity with office equipment and basic administrative software.
- CPR and AED response capability, and Narcan emergency overdose response preferred.
- Ability to pass an FBI background check.
Additional Requirements:
- Adherence to Verve's policies and procedures, as well as applicable Federal and State regulations (e.g., 42 CFR part 2, HIPAA).
- Maintenance of any relevant professional licenses and certifications.
- Participation in ongoing professional development and training as required.
Physical and Environmental Considerations:
- Moderate risk of infection due to direct daily client exposure.
