Position Summary
The Permitting Coordinator is responsible for managing the permitting process for company projects throughout South Florida. This role serves as the liaison between municipalities, customers, project managers, and internal departments to ensure permits are obtained accurately and on time, helping projects move efficiently from contract to production.
The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects, deadlines, and jurisdiction requirements simultaneously.
Essential Duties & Responsibilities
Permit Administration
- Review contracts and determine permitting requirements.
- Prepare and submit permit applications to municipalities, counties, HOAs, and other agencies.
- Coordinate permit packages, drawings, insurance certificates, contractor licenses, and supporting documentation.
- Track permit status and proactively follow up with agencies to minimize delays.
- Maintain accurate permit logs and status updates in SalesForce CRM.
Project Coordination
- Communicate permit requirements and timelines to Sales Representatives, Project Managers, and Production teams.
- Notify internal teams when permits are approved and projects are ready for scheduling.
- Coordinate inspections and maintain inspection records when required.
- Assist with right-of-way permits, MOT requirements, and jurisdiction-specific requests.
Customer Service
- Serve as a point of contact for customers regarding permitting questions and updates.
- Communicate professionally with property managers, HOAs, municipalities, engineers, and inspectors.
- Provide timely responses and maintain a high level of customer service throughout the permitting process.
Documentation & Compliance
- Ensure permit files are complete and properly organized.
- Upload and maintain project records within company software systems.
- Support close-out documentation related to permits and inspections where necessary.
Continuous Improvement
- Develop and maintain jurisdiction-specific permitting procedures and checklists.
- Identify opportunities to improve efficiency and standardize permitting processes.
- Assist with special projects and administrative support as needed.
Qualifications
- Minimum 2 years of administrative, permitting, construction, or project coordination experience preferred.
- Experience working with municipalities, construction permits, or the paving industry is strongly preferred.
- Strong organizational and time management skills.
- Ability to prioritize multiple projects and deadlines.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Outlook, Excel, Word).
- Experience with Salesforce, SharePoint, or similar software is a plus.
- Ability to work independently while collaborating with multiple departments.
Pay: $22.00 - $27.00 per hour
