Position Summary
Neighborhood Home Services is seeking an organized and dependable Office Coordinator to support our financial and operational processes. This position works closely with customers, technicians, financing partners, municipal permit offices, vendors, and internal departments to help keep projects moving efficiently.
The Office Coordinator will manage permit applications, enter job-cost information in ServiceTitan, follow up on outstanding customer balances, coordinate customer financing documentation, and assist the Finance Manager with reporting and special projects.
Key Responsibilities
- Prepare, submit, and track permit applications with municipal offices.
- Maintain permit records and communicate status updates to project teams.
- Enter vendor invoices and job-related expenses into ServiceTitan.
- Verify invoice accuracy and resolve documentation or billing discrepancies.
- Contact customers regarding overdue invoices and document collection activity.
- Customer membership oversite.
- Process customer payments while maintaining positive customer relationships.
- Assist customers and technicians with financing applications and required documents.
- Coordinate approvals and funding updates with financing partners.
- Support finance reporting, data collection, process improvements, and special projects.
- Provide general administrative support to the Finance Manager and operations team.

Skills
- Experience with accounting systems like QuickBooks, xcel, word platforms for bookkeeping and data analysis.
- Familiarity with basic accounting concepts including journal entries, account reconciliation, double-entry bookkeeping, and balance sheet analysis.
- Ability to manage processes efficiently while maintaining attention to detail.
- Excellent numeracy skills combined with strong analytical abilities for account analysis and credit assessment.
- Proficiency in Microsoft Office Suite—especially Excel—for data analysis through spreadsheets and pivot tables.
- Demonstrated ability to handle sensitive information confidentially while maintaining high standards of accuracy in data entry and record keeping.
- Ability to work in a fast paced environment that can handle reprioritizing of their day to ensure the job get done.
