About us
Harborview is a vertically integrated real estate company — property management, construction, and brokerage under one roof. We own and manage rental housing across South Jersey and Philadelphia. Our Gibbsboro office is the administrative hub for all of it, and this seat is the center of that hub. You won't be one of thirty admins in a corporate building. You'll be one of a handful of people running a growing company.
What you'll do
Front office
- Answer and route incoming calls for all of our companies — property management, construction, and real estate
- Process incoming mail daily: sort, scan, distribute, and file
- Send certified mail and outgoing correspondence
- Keep the office running — supplies, equipment, vendors
Financial administration
- Scan and deposit checks using remote deposit capture
- Attach check images to the correct tenant and vendor records in AppFolio
- Maintain accurate, organized digital records of all deposits
Compliance and records
- Own our municipal compliance calendar: track and file annual rental registrations, certificates of occupancy, and smoke/CO certifications across multiple townships and counties
- Schedule municipal and state inspections and keep a running deadline tracker
- Maintain vendor files: W-9s, certificates of insurance, and expiration tracking
- Handle utility account transfers when units turn over
- Scan and route Section 8 documentation to our compliance coordinator
Support
- Take first-touch rental inquiries and pass qualified leads to our leasing agent
- Additional administrative and operational support as the company grows
What we're looking for
- 2+ years in an administrative, office management, or front office role
- Strong attention to detail — this role touches money, legal documents, and government filing deadlines daily
- Genuinely organized. If you like owning a calendar and never missing a deadline, you'll do well here
- Comfortable on the phone across multiple businesses
- Proficient with computers; able to learn new software quickly
- Property management, real estate, construction, or municipal office experience is a plus
- AppFolio experience is a plus (not required — we'll train)
- Notary commission is a plus, or willingness to become commissioned (we'll pay for it)
Schedule
Monday–Friday, 8:30 AM–4:30 PM. In-office position.
