We are seeking a highly organized, sharp, and proactive Terminal Operation & Maintenance Coordinator to oversee terminal fleet maintenance, shop workflows, and asset compliance at our Houston facility. This dual-impact role acts as the central command post between our mechanics, dispatchers, drivers, and safety team—ensuring our semi-trucks and chassis are 100% DOT compliant, work orders are meticulously tracked, and equipment is ready for the road.
Key Responsibilities
- Shop Workflow & Maintenance Tracking (Samsara):
- Assign, monitor, and close out daily work orders (WOs) for shop mechanics using the Samsara platform.
- Ensure repair descriptions, labor hours, parts, and photos are accurately recorded in Samsara in real time before finalizing work orders.
- Monitor Driver Vehicle Inspection Reports (DVIRs) and prioritize repairs for "Out of Service" units.
- Asset Compliance & Permit Management:
- Physically mount new license plates on semi-trucks, trailers, and chassis, verifying VIN matches.
- Apply IFTA decals and ensure cab cards, registration, and required permit books are current in every power unit.
- Audit, collect, and submit Annual DOT Inspection reports to corporate/safety files.
- Take and upload digital photo proof of completed repairs, plate mountings, and sticker applications.
- Parts & Vendor Management:
- Sourcing, ordering, and inventory tracking for routine maintenance and repair parts.
- Build relationships with local parts suppliers and outside vendors to negotiate pricing and control costs.
- Reconcile parts invoices against work orders.
- Dispatch & Driver Support:
- Serve as the primary point of contact for dispatch regarding down units, repair ETAs, and available truck/trailer counts.
- Assist drivers directly with paperwork issues, permit book updates, and registration questions.
Qualifications & Requirements
- Experience: Minimum 1+ years in a commercial truck repair shop, fleet maintenance department, or heavy-duty logistics environment.
- Software Knowledge: Direct experience using Samsara (or similar Fleet Management Software) for maintenance tracking and DVIR management is strongly preferred.
- Mechanical & Technical Aptitude: Solid understanding of Class 8 semi-trucks, chassis, and trailer components (brakes, air systems, tires, lights).
- Physical & Hands-On: Comfortable working in both an office setting and outside in a terminal yard environment (mounting plates, inspecting equipment, applying decals).
- Compliance Mindset: Familiarity with FMCSA/DOT safety standards and inspection documentation.
- Organization: Outstanding attention to detail for tracking paperwork, matching VINs, and keeping permit files audit-ready.
