Job Summary
The Customer Service and Logistics Coordinator supports daily shipping, order processing, and inventory activities at the plant. This role is heavily focused on data entry, paperwork, and coordinating shipments with carriers and the railroad. This position works closely with the Customer Support & Planning Manager and plant teams to ensure orders, shipments, inventory records, and invoices are accurate and completed on time, while maintaining clear communication with customers.
Key Responsibilities
Order Entry & Data Accuracy
· Enter customer orders and order changes into the system accurately and on time.
· Send order confirmations to customers.
· Proactively communicate any order changes, delays, or updates to customers.
· Update delivery dates and customer shipping information as needed.
· Maintain accurate order, inventory, and shipment records.
- Create and send invoices daily to customers.
Logistics & Shipping Coordination
- Ensure all orders were successfully tendered to carriers (both truck and rail) and accepted for on time pickup.
- Day-to-day coordination with carriers and railroad as necessary.
- Communicate shipment details, changes, and confirmations.
- Monitor shipment status and report delays or issues.
- Work with LRM to resolve any issues with tendering, rail billing, issues with carriers, etc.
- Work in close collaboration with the Supply Chain Transportation team and with the Supply Chain Director. These roles all operate in an inter-connected way to serve the customer and the business.
3rd‑Party Warehouse / Transloader Support
- Track inventory moving between the plant, warehouses, and customers.
- Enter inventory transfers and shipping activity into the system.
- Communicate with warehouse and transloader contacts to confirm inventory and shipments.
- Help identify and report inventory discrepancies.
General Administrative Support
- Maintain organized files and shipment documentation.
- Run basic reports and support inventory reconciliation.
- Provide updates to the Supervisor on execution status.
- Support other office and administrative tasks as needed.
Skills & Qualifications
- Strong attention to detail and accuracy.
- Comfortable working on a computer for most of the day.
- Basic knowledge of Microsoft Excel, Outlook, and Word.
- Ability to handle repetitive administrative tasks.
- Good communication skills, including customer email and phone interaction.
- Ability to work in a fast‑paced environment.
Education & Experience
- High school diploma or equivalent required.
- Associate degree or logistics experience preferred.
- 1–3 years of experience in order entry, logistics, transportation, or administrative roles preferred.
- ERP (NetSuite), TMS or order management system experience is a plus.
Work Environment
- Plant and office environment with moderate noise.
- Primarily desk and computer work with some time spent coordinating shipments on site.
