Union Benefits Coordinator

We are seeking a detail-oriented and highly organized Union Benefits Coordinator to join our team. This role is critical in ensuring accurate administration of union benefits, compliance with collective bargaining agreements (CBAs), and timely reporting to union benefit funds. The ideal candidate will have experience in construction payroll, union benefits administration, and labor compliance.
Position Summary
The Union Benefits Coordinator is responsible for administering and coordinating all union-related benefit reporting, contributions, compliance activities, and audit support functions. This position serves as the primary liaison between the company, union benefit funds, payroll personnel, project teams, and auditors to ensure accurate reporting of employee hours, benefit contributions, and adherence to union agreements.
The successful candidate will possess strong analytical skills, exceptional attention to detail, and the ability to manage multiple responsibilities while meeting strict reporting deadlines.
Key Responsibilities
Union Benefits Administration
- Prepare, review, and submit monthly, weekly, and quarterly union benefit fund reports.
- Calculate and reconcile fringe benefit contributions based on union agreements and payroll records.
- Maintain employee benefit records and ensure accurate allocation of union hours and contributions.
- Coordinate enrollment, eligibility, and benefit-related inquiries with union representatives and benefit fund administrators.
- Monitor changes to collective bargaining agreements and ensure proper implementation.
Payroll & Compliance Review
- Review payroll data to ensure accuracy of union wages, benefit contributions, deductions, and classifications.
- Verify compliance with collective bargaining agreements, prevailing wage requirements, and labor regulations.
- Identify and resolve discrepancies involving payroll, union contributions, and employee classifications.
- Collaborate with payroll staff to ensure timely and accurate processing of union payroll requirements.
Audit Support
- Coordinate and prepare documentation for union, benefit fund, labor compliance, and prevailing wage audits.
- Gather payroll records, certified payroll reports, contribution reports, and supporting documentation.
- Respond to auditor requests and assist in resolving audit findings.
- Maintain organized records to support compliance requirements and future audits.
Project & Subcontractor Compliance
- Monitor labor compliance requirements for active projects.
- Assist with tracking subcontractor compliance documentation and labor reporting requirements.
- Review certified payroll records and related compliance submissions.
- Partner with project managers and field operations personnel to ensure labor compliance obligations are met.
Reporting & Recordkeeping
- Generate reports related to union contributions, labor compliance, payroll activity, and benefit fund obligations.
- Maintain accurate electronic and paper records in accordance with company policies and regulatory requirements.
- Track reporting deadlines and ensure timely submission of documents to union benefit funds and agencies.
- Assist with special projects and process improvement initiatives related to payroll and benefits administration.
Qualifications
Required
- 2–5 years of experience in construction payroll, union benefits administration, payroll compliance, accounting, or a related field.
- Working knowledge of union benefit funds and collective bargaining agreements.
- Strong understanding of payroll processes and labor compliance requirements.
- Advanced proficiency in Microsoft Excel, including formulas, lookups, and reporting functions.
- Excellent organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong verbal and written communication skills.
Preferred
- Experience working within the construction, heavy civil, or industrial services industry.
- Familiarity with certified payroll reporting and prevailing wage regulations.
- Experience supporting union or labor compliance audits.
- Knowledge of payroll software and enterprise resource planning (ERP) systems.

Pay: $65,000.00 - $80,000.00 per year
