Office Administrator
CPA & Wealth Management Firm
We are seeking an organized, friendly, and dependable Office Administrator to join our growing team. We are a small, locally owned CPA and Wealth Management office that takes pride in providing exceptional client service in a welcoming, relationship-focused environment. As our Office Administrator, you'll ensure our office runs smoothly, our team stays organized, and our clients feel welcomed and supported from the moment they connect with us. Your work will play an important role in helping us deliver outstanding service every day.
Core Responsibilities
- Be the first point of contact for clients by answering phones, greeting visitors, and managing email correspondence for both the CPA and Wealth Management firms.
- Maintain and organize client records, both digital and physical, while ensuring confidentiality and regulatory compliance.
- Coordinate client appointments, meetings, and important tax deadlines.
- Manage billing, invoicing, and payment tracking using our accounting software.
- Assist with the preparation and assembly of tax returns, financial statements, and client reports.
- Oversee office supplies, vendor relationships, and the day-to-day operation of the office.
- Provide administrative support to the owners and staff to keep projects organized and moving forward.
Skills & Experience
- Previous office administration experience required; experience in a CPA firm, financial services, or other professional office is preferred.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Office; experience with QuickBooks, Lacerte, or similar accounting and tax software is a plus.
- Outstanding written and verbal communication skills.
- A proactive, detail-oriented mindset with the ability to anticipate needs and solve problems independently.
- Professionalism and discretion when handling confidential financial information.
Schedule, Pay, and Benefits
- Start date: August 3, 2026
- Monday through Friday, 8:00 a.m. to 5:00 p.m (half days on Fridays after tax season).
- Additional hours may be required only during tax season.
- Starting pay: $23–$26 per hour, depending on experience.
