Responsibilities
- Manage and maintain detailed calendars, including scheduling meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support by preparing correspondence, reports, presentations, and proofreading documents for accuracy and clarity.
- Coordinate projects by tracking deadlines, organizing materials, and liaising with internal teams to ensure timely completion.
- Handle phone etiquette professionally across multi-line phone systems, screen calls, take messages, and direct inquiries appropriately.
- Assist with event planning for meetings, conferences, and company functions—handling logistics such as venue booking, catering coordination, and attendee communication.
- Perform bookkeeping duties using QuickBooks or similar software to manage invoices, expense reports, and basic financial recordkeeping.
- Maintain organized filing systems—both digital and physical—and ensure data entry accuracy for all administrative records.
- Support office management tasks including supply procurement, front desk duties, customer service interactions, and general clerical responsibilities like filing and data entry.
- Utilize office software such as Microsoft Office Suite (Word, Excel) and Google Workspace for document creation, editing, transcription, and proofreading tasks.
- Use DocuSign or similar electronic signature platforms to facilitate document signing processes efficiently.
Experience
- Proven experience as an executive assistant or personal assistant supporting senior management or executives in a fast-paced environment.
- Demonstrated proficiency in office management tasks including calendar management, filing systems, data entry, and clerical duties.
- Strong background in administrative support functions such as proofreading and transcription.
- Excellent organizational skills with the ability to multitask effectively while maintaining attention to detail.
- Exceptional communication skills with professional phone etiquette across multi-line phone systems.
- Proficiency in computer literacy with advanced knowledge of Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, and electronic signature tools like DocuSign.
- Experience handling customer service interactions at the front desk or via phone communications.
