We're hiring an organized, personable Real Estate Office Assistant to be the first face and voice of our brokerage while taking as much off the broker-owner's plate as possible. You'll greet clients, agents, and vendor partners warmly, manage phones and the front office, coordinate the broker's calendar and correspondence, assist with transaction paperwork and compliance tracking, and help keep our internal systems and processes running smoothly.
This role starts hands-on at the front desk and in day-to-day admin support, with real opportunity to grow into greater operations responsibility as trust, consistency, and skill are demonstrated. We're looking for someone who doesn't just execute tasks as given, but who can take a big idea or vision and break it down into clear, actionable steps, someone who's always scanning for a better, more efficient way to get things done, who shows up on time every time, and who, when the to-do list is clear, comes looking for more rather than waiting to be asked. Responsibilities
- Greet clients, agents, and vendor partners warmly and professionally, in person and by phone
- Answer and route incoming calls; manage the front desk and main office line
- Coordinate the broker's calendar, correspondence, and appointment scheduling
- Coordinate transaction paperwork and compliance to keep operations smooth and efficient
- Track critical deadlines to ensure timely completion of tasks and projects
- Serve as a primary point of contact for agents, clients, and vendors, fostering strong relationships and clear communication
- Maintain office supplies, signage, and a clean, professional reception area
- Keep the office presentable at all times tidying common areas, taking out trash, and handling general upkeep
- Ensure in-office appointments are fully prepped ahead of time (space, materials, and any needed setup)
- Support onboarding for new agents (welcome materials, access, basic setup)
- Help maintain databases, checklists, and internal systems
- Assist in documenting processes and procedures to support consistent, efficient operations
- Translate the broker's ideas and priorities into clear, actionable task lists and follow through to completion
- Proactively spot opportunities for greater efficiency and suggest or implement improvements
- Take on tasks and projects proactively when your list is clear, check in for what else can be taken off the broker's plate
Qualifications
- Strong interpersonal skills and a genuine, service-first attitude with clients, agents, and vendor partners
- Reliably punctual and dependable shows up on time, every time
- Ability to manage calendars, communications, and scheduling with precision
- Highly organized, with a proven ability to track and meet deadlines
- Comfortable coordinating transaction paperwork and compliance documentation
- Trustworthy with sensitive and confidential information
- Proficiency with (or ability to quickly learn) office software, CRM/MLS tools, and online signature platforms
- Ability to work independently in a fast-paced environment, with initiative and proactive problem-solving
- Skilled at taking a big idea or vision and breaking it into clear, actionable steps
- Naturally looks for ways to work smarter and more efficiently, not just faster
- A humble, hungry mindset proactively seeks out more ways to help rather than waiting to be told
- Communicates well, both verbally and in writing
- Prior admin, front-desk, or real estate experience is a plus, but not required
Compensation
hourly for the first 90 days, transitioning to a salaried position following a successful 90-day review. Compensation and scope of responsibility grow alongside demonstrated ownership of operational duties.
