Job Summary
We are a high-volume Orthopaedic practice, dedicated to providing exceptional patient care in Ocala, Florida. We are seeking a professional, detail-oriented, experienced and organized Front Desk Receptionist/Office Assistant to join our team. This role is vital in ensuring smooth office operations, providing excellent customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess strong communication skills, and be capable of handling multiple tasks efficiently. Bilingual abilities is a plus and experience with medical insurance is a must. In this role, you will be the first point of contact for our patients, ensuring a smooth and efficient check-in process while handling insurance-related tasks in a fast paced environment. Responsibilities
- Greet visitors and clients warmly upon arrival and manage the check-in process, including verifying patient information, updating demographics, and collecting necessary documentation.
- Manage multi-line phone systems, direct calls, and take detailed messages
- Schedule and confirm appointments, coordinate with clinical staff for patient flow, and manage wait times in a HIGH VOLUME practice.
- Handle co-pays, deductibles, and patient payments at time of service, providing clear explanations of financial responsibilities.
- Perform insurance verification, eligibility checks, and prior authorizations to ensure accurate billing.
- Assist with front office administrative tasks such as answering phones, responding to patient inquiries, tasking physicians for medication refills.
Experience
- Prior office experience is required; experience in medical or Orthopaedic office. Knowledge of Orthopaedic terminology and procedures is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), and EHR systems.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills, both verbal and written; bilingual abilities are a plus.
- Must have 3-5 years experience in medical setting.
- Demonstrated ability to handle confidential information with discretion.
- Experience in customer service roles emphasizing professionalism and patience
- Ability to multi-task, prioritize, and remain calm under pressure during high volume periods.
