The Role
We are hiring a bilingual Administrative Assistant to support our daily operations. This is a hands-on, task-driven role where you'll work directly with the owner and be responsible for keeping vendors, customers, and internal processes moving without being micromanaged.
If you're organized, fluent in both English and Spanish, and have real experience managing purchase orders and vendor communication — we want to hear from you.
What You'll Do
- Manage incoming and outgoing phone calls — vendors, customers, and suppliers
- Create and process purchase orders (POs) in our system
- Follow up with vendors on pricing, availability, and order status
- Reach out to customers for order confirmations, follow-ups, and general communication
- Maintain organized records of orders, invoices, and vendor files
- Support accounts receivable — track open balances and send follow-ups
- Handle general administrative tasks: data entry, filing, scheduling, email correspondence
- Assist with day-to-day office operations as needed
What We're Looking For
- Fluent in English and Spanish — written and verbal — this is non-negotiable
- Proven experience as an Administrative Assistant or Executive Assistant
- Hands-on experience with purchase orders and vendor communication
- Experience in QuickBooks is a plus
- Strong phone presence — professional, clear, and confident
- Highly organized with strong attention to detail
- Proactive mindset — you find things to do, you don't wait to be told
- Comfortable in a fast-paced, small business environment
Nice to Have
- Experience in print, signage, or a trade/supply industry
- Background in accounts payable or receivable
- Experience with Microsoft Office and Google Workspace
