Falcor Express is seeking an experienced, highly organized and accountable Operations & Fleet Manager to oversee the administrative and operational systems that support our 30-route-per-day delivery operation.

- $60,000 - $70,000 annually based upon experience

- Monday - Friday at the Bedford Amazon Station (DCL4) - with schedule flexibility based upon business needs.
- 8:00am - 5:00pm
- Some holidays are required
This is not a traditional office management position. The Operations & Fleet Manager is responsible for making sure the business is properly staffed, vehicles are ready, employees are accurately scheduled and paid, operational issues are addressed, and the team consistently executes at a high level.
The ideal candidate is a hands-on manager who enjoys solving problems, holding people accountable and creating systems that make an operation run better. You do not need prior Amazon DSP or logistics experience, but you must have demonstrated experience managing people and operations in a fast-paced environment.
The successful candidate will work closely with the Owner, HR/Recruiting Manager, Morning Operations and Dispatch team.
-CORE RESPONSIBILITIES-
1. Fleet Management
Own the overall readiness and reliability of the Falcor Express delivery fleet
- Maintain a preventative maintenance schedule for all vehicles.
- Track vehicle mileage, service intervals, inspections and repairs.
- Schedule preventative maintenance and major repairs.
- Coordinate with repair facilities and vendors.
- Track vehicles currently out of service and expected return dates.
- Ensure the fleet is properly prepared for the next day's routes.
- Monitor vehicle damage and ensure appropriate documentation and follow-up.
- Maintain accurate fleet records.
- Monitor maintenance expenses and identify opportunities to reduce unnecessary costs.
- Ensure spare vehicles are available and operational when needed.
- Establish and enforce procedures for vehicle inspections, cleanliness and reporting of mechanical issues.
Primary outcome: We have the vehicles necessary to safely operate our scheduled routes every day.
2. Staffing & Scheduling
Own the operational staffing plan while partnering with the HR/Recruiting Manager.
- Review staffing needs based on scheduled routes and anticipated attendance.
- Maintain accurate driver schedules.
- Identify staffing shortages before they affect operations.
- Monitor attendance and reliability.
- Track call-offs, no-shows and late arrivals.
- Establish appropriate staffing overages based on historical attendance and business needs.
- Work with HR to identify recruiting needs.
- Ensure new employees are properly integrated into the schedule after training.
- Help determine appropriate staffing levels for peak periods and high-volume days.
Primary outcome: We have enough qualified people scheduled to execute the day's routes without unnecessary overstaffing.
3. Timecards & Payroll Administration
Own the accuracy of employee timekeeping and payroll preparation.
- Review timecards daily.
- Identify missed punches, inaccurate hours and unusual time entries.
- Follow up with employees to correct discrepancies.
- Monitor overtime and excessive hours.
- Compare scheduled hours to actual hours worked.
- Prepare payroll information for approval.
- Maintain accurate attendance and timekeeping records.
- Identify recurring timekeeping issues and implement corrective processes.
Primary outcome: Payroll is accurate, timely and supported by clean records.
4. Driver Performance & Accountability
The Operations & Fleet Manager owns the driver accountability system while working closely with HR and Dispatch.
- Review driver performance trends.
- Identify repeat performance issues.
- Ensure coaching and corrective action are documented.
- Monitor whether coaching produces improvement.
- Escalate recurring performance problems to the Owner when necessary.
- Ensure managers consistently apply company policies.
- Recognize strong employee performance and reliability.
- Help establish clear expectations for attendance, safety, productivity and professionalism.
5. Administrative Operations
Take ownership of the administrative responsibilities that allow the Owner and operational team to focus on running the business.
- Maintain operational records.
- Track employee certifications and required documentation.
- Monitor compliance-related deadlines.
- Maintain vendor relationships related to fleet and operations.
- Track invoices and operational expenses.
- Maintain company calendars and operational schedules.
- Create and improve operating procedures.
- Identify administrative inefficiencies and implement better systems.
- Ensure commitments made by management are completed.
6. Morning Operations
The Operations & Fleet Manager should regularly be present during the morning launch.
Responsibilities include:
- Monitor attendance and staffing.
- Observe route preparation and launch.
- Identify recurring launch problems.
- Verify that vehicle issues are addressed.
- Support the Morning Lead when escalation is required.
- Ensure operational standards are being followed.
- Identify opportunities to improve launch efficiency.
7. Leadership & Team Development
- Set clear expectations for direct reports.
- Hold employees accountable without creating unnecessary conflict.
- Develop reliable processes rather than relying on individual heroics.
- Communicate clearly and professionally.
- Address problems promptly.
- Build a culture of accountability, reliability and teamwork.
- Lead by example.
- Maintain a professional, positive and respectful work environment.

- Must have reliable transportation to get to/from the Bedford Amazon Station (DCL4)
- Must be comfortable driving long distances (freeway and neighborhoods)
- Must be eligible to work in the U.S.
- Must have a valid Driver’s License
