Office Manager
Busy estate planning sole practitioner is looking for an Office Manger manager to organize and coordinate administration duties and office procedures. Your role is to be the initial point person for potential clients and current clients and to assist the attorney with creating work product, providing work product to clients, and preparing for client appointments. Other responsibilities include scheduling meetings and appointments, maintaining office supplies, greeting visitors, answering the phone, and representing the office when attending community events. A successful Office Manager should have experience with the Microsoft Word and Excel, and be able to accurately handle administrative duties, including accurate and efficient typing. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve office procedures and day-to-day operation.
Responsibilities
- Assist attorney with preparation of documents, proof-reading, etc.
- Schedule meetings and appointments, preparing conference room for appointments
- Organize the office layout and order supplies
- Maintain the office condition and report repair needs to landlord
- Organize office operations and procedures
- Provide general support to clients
- Answer phones, keep calendar
Skills
- The ability to type efficiently and accurately
- Proven experience as an Office Assistant or Administrative assistant (2+ years)
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands on experience with office machines (e.g. Copier/Printer)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
