Position Summary:
We are seeking a highly organized and customer-focused individual to join our team as a Service Scheduler / Office Assistant. This dual-role position is responsible for coordinating service appointments, managing office administrative tasks, and providing exceptional support to both customers and field technicians
Key Responsibilities:Scheduling & Dispatch:
- Coordinate and schedule service appointments for technicians based on customer needs and technician availability.
- Communicate with customers to confirm appointments, update schedules, and provide service timelines.
- Dispatch service personnel efficiently while managing real-time schedule changes.
- Maintain scheduling software or calendars to ensure optimal productivity.
Customer Service:
- Answer incoming phone calls and emails, responding to customer inquiries in a professional and courteous manner.
- Provide updates to customers regarding service times, technician arrival, or delays.
- Handle basic troubleshooting or information requests before escalating to service staff.
Administrative Support:
- Maintain accurate records of service calls, work orders, and client communications.
- Assist with data entry, filing, and document management.
- Prepare invoices, track service orders, and follow up on billing inquiries.
- Order office and service-related supplies as needed.
General Office Duties:
- Greet visitors, handle mail, and maintain a clean, organized front office environment.
- Support management and team members with administrative tasks or special projects as assigned.
Requirements:
- High school diploma or equivalent; additional administrative training or certification is a plus.
- Previous experience in scheduling, office administration, or customer service preferred.
- Experience in a service-based industry (Water Filtration).
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office (Word, Excel, Outlook) and scheduling software.
- Strong organizational skills and attention to detail.
- Ability to multi-task and work in a fast-paced environment.
- Problem-solving skills and a proactive attitude.
Work Schedule:
- Full-time, Monday–Friday (occasional weekend/on-call support may be required depending on business needs).
Job Type: Full-time
Pay: $20.00 - $23.00 per hour
