ADMINISTRATIVE OPERATIONS ASSISTANT

About the Position
Skyline Sheet Metal is looking for a positive, dependable, and highly organized Administrative Operations Assistant to join our team!
This is a great opportunity for someone who enjoys being the person who keeps things moving behind the scenes. The Administrative Operations Assistant will serve as an important point of contact for our office, assisting with front desk responsibilities, accounts payable, administrative tasks, HR support, and day-to-day office operations.
Key ResponsibilitiesFront Desk / Reception
- Greet and welcome visitors and direct them to the appropriate person or department.
- Collect vendor information and distribute it to Project Managers and/or ownership as appropriate.
- Answer, screen, and direct incoming phone calls.
- Provide accurate and helpful information to visitors, employees, vendors, and callers.
- Prepare outgoing packages for USPS, UPS, and other carriers.
- Receive incoming packages and notify recipients.
- Direct delivery drivers and coordinate with the shop regarding material deliveries and unloading.
- Help maintain office security by monitoring and controlling access through the front desk.
Invoicing & Accounts Payable
- Monitor and input invoices on a daily basis.
- Communicate with Project Managers regarding invoice routing, coding, input, and approvals.
- Communicate with the Secretary of Treasury regarding invoice approvals, weekly payable amounts, and other AP-related questions.
- Conduct weekly accounts payable check runs.
- Maintain accurate and organized AP records and documentation.
- Follow established procedures to ensure invoices are processed accurately and on time.
- Assist with credit card reconciliation.
Previous Accounts Payable experience is a plus, but not required. Training will be provided to the right candidate.
Administrative & Office Support
- Order and maintain inventory of office supplies.
- Arrange employee travel and accommodations.
- Schedule and facilitate land & building maintenance services.
- Maintain company vehicle information, maintenance records, and gas card documentation.
- Assist with vehicle registration renewals, new vehicle purchases, sold vehicles, and related documentation.
- Maintain and track employee safety certifications and training records.
- Create Job Site Safety Manuals, Project Binders and other required safety documentation to provide to Project Managers for distribution and use on applicable projects.
- Keep supply rooms, break rooms, and common office areas clean, organized, and stocked.
- Assist with company events and event preparation.
- Assist HR with onboarding new employees.
- Provide administrative support to HR, Accounting, Project Managers, and management as needed to help keep company operations running smoothly.

- Able to work independently while also being a team player.
- Professional, approachable, and able to maintain confidentiality when handling company and employee information.
- Experience working within the construction industry highly advantageous!
