Duties
- Greet patients and families warmly, assisting with check-in and check-out processes while providing excellent customer service in both English and Spanish
- Manage appointment scheduling using electronic health record (EHR) systems such as Epic, Meditech, or Athenahealth, ensuring accurate calendar updates and reminders
- Verify insurance coverage, perform insurance authorization and verification procedures, including insurance verification and documentation review
- Handle medical billing tasks including coding with CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding for accurate claim submission
- Maintain organized medical records, ensure compliance with HIPAA confidentiality policies, and manage electronic health records (EHR) systems like eClinicalWorks or Dentrix
- Support clinical staff with intake procedures, documentation review, and care plan coordination while adhering to clinical confidentiality policies
- Operate multi-line phone systems with professional phone etiquette, answer inquiries promptly, and direct calls efficiently
Qualifications
- Bilingual fluency in English and Spanish is essential for effective communication with diverse families
- Prior clinic or medical office experience is highly preferred; familiarity with pediatric or dental settings is a plus
- Strong computer skills including proficiency in Microsoft Office Suite, EHR management software such as Epic or Meditech, and dental practice management systems like Eaglesoft or Dentrix
- Knowledge of medical terminology, health insurance processes, medical billing, coding (CPT, ICD-9/10), and insurance verification procedures
- Excellent organizational skills with the ability to handle multiple tasks such as scheduling, filing, data entry, and document review accurately
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Understanding of HIPAA regulations and clinical confidentiality policies to ensure patient privacy at all times
- Office management experience including front desk duties, filing systems, multi-line phone operation, and administrative support in healthcare environments
