Who We Are
OCD Painting and Flooring is a fast-growing, multi-trade residential contractor serving Lake County, FL. We deliver interior/exterior painting, LVP/tile/laminate flooring, and concrete coatings through a dedicated single-crew model — no subcontractor hand-offs, no dropped balls, and a three-year workmanship warranty on every project.
We are not a typical contractor. We operate with the precision, accountability, and systems discipline our name demands. The right Operations Manager won't just maintain what we've built — they'll actively make it better.
The Role
We are hiring an Operations Manager to serve as the operational nerve center of this business. This is not a status-quo maintenance role. We are looking for a builder — someone who sees a broken process and fixes it, sees a gap in the system and fills it, and takes ownership of outcomes as if their name is on the door.
This role owns:
- Crew scheduling, dispatch, and utilization — maximizing billable hours per crew per week
- Full tech stack oversight across Jobber, Monday.com, GoHighLevel, CompanyCam, Calendly, PaintScout, and QuickBooks
- Workforce pipeline — recruiting, interviewing, onboarding, and retaining field talent
- Culture, training, and crew skill development — from Day 1 through full proficiency
- Operational reporting — profitability, utilization, and production metrics
- Process design — building, modifying, and improving systems as the company scales

Core ResponsibilitiesDaily Operations
- Audit employee time entries by 8:10 AM daily in Jobber; ensure all crew members are clocked into the correct job and cost class. Submit payroll data to accounting by 9:00 AM every Monday.
- Triage inbound emails, texts, and calls; respond, escalate appropriately, and log all correspondence into Monday.com with same-day turnaround.
- Monitor the Deals Board in GoHighLevel/Monday.com for quote follow-up tasks; execute correct templated follow-ups on schedule.
- Complete the customer welcome call within 24 hours of every signed contract.
- Ensure all materials are ordered within 24 hours of deposit receipt; create POs and work orders with full job information before crew deployment.
Scheduling & Crew Utilization
- Own crew scheduling across all active jobs — maximize billable utilization while protecting job quality and workmanship warranty standards.
- Identify and eliminate scheduling gaps, idle crew time, and underbooked periods before they impact cash flow.
- Coordinate job sequencing across painting, flooring, and concrete divisions to maximize single-crew efficiency on multi-trade projects.
- Monitor field progress through CompanyCam; confirm job-site standards are maintained on every active project.
Tech Stack Management & Systems Development
- Own the full OCD tech stack day-to-day:
- Jobber — crew scheduling, job management, time tracking, invoicing
- Monday.com — pipeline, job board, workflow management, reporting
- GoHighLevel — CRM, lead tracking, automated follow-ups, pipeline stages
- CompanyCam — job site documentation, photo logs, QA verification
- PaintScout — estimating accuracy, quote generation, scope management
- Calendly — lead appointment scheduling and intake flow
- QuickBooks — job cost tracking, payroll coordination, financial accuracy
- Identify broken workflows, redundant steps, and missing automations — then build the fix. You are not a system user. You are a system owner.
- Design and implement new SOPs as the company adds crews, services, or divisions.
- Ensure automations trigger correctly across the stack; catch and resolve integration failures before they impact customers or revenue.
Profitability & Operational Reporting
Profitability and crew utilization are the two primary performance metrics for this role. Everything you manage should ultimately tie back to one of these two outcomes.
- Track and report job-level gross margin weekly; flag deviations from firm-quote targets immediately.
- Monitor crew utilization rate (billable hours vs. scheduled hours) and present weekly trends to ownership.
- Produce monthly operational reports covering: production output, crew utilization %, job-level profitability, lead-to-job conversion, and open receivables.
- Identify cost overruns, material waste, or scheduling inefficiencies and build corrective action plans with measurable outcomes.
Workforce Management, Hiring & Culture
- Own the workforce pipeline — proactively recruit and maintain a ready bench of qualified painters and crew members so the business is never caught short-staffed.
- Act as the primary hiring manager: source candidates (Indeed, Craigslist, referrals, Google Forms), conduct structured interviews, and make hire/no-hire recommendations to ownership.
- Manage all new hire onboarding and compliance: paperwork packets, ID verification, QuickBooks setup, tool orientation, and job site introduction — zero exceptions, no one starts without complete documentation.
- Build and protect the OCD culture: precision, accountability, pride in craft, and clean job sites. Set the standard and hold the team to it consistently.
- Develop and execute a structured training program that advances painter and crew skill from onboarding through full trade proficiency — increasing crew value and reducing quality callbacks.
- Conduct regular performance check-ins with field staff; identify skill gaps and build individual development plans.
- Manage crew morale, discipline, and retention — create an environment where high performers want to stay and grow.
What We're Looking For
- 3+ years of operations, office management, or project coordination experience in a trades, construction, or field service environment
- Proven ability to build and modify operational systems — not just follow them. You see a gap and you close it.
- Mastery of field service tech platforms; experience with Jobber, Monday.com, GoHighLevel, or equivalent systems is a strong advantage
- Financially literate — you can read a P&L, understand job costing, and connect daily scheduling decisions to margin outcomes
- Obsessively organized with a bias for documentation — details don't slip, and you build systems to make sure they don't
- A hiring manager mindset: you can source, screen, interview, and close quality candidates without hand-holding

Compensation & Structure
Base Salary: $65,000 – $80,000 commensurate with experience. This is not an entry-level role. Bonus: Generous profit-sharing bonus tied directly to company profitability. When the company wins, you win. Schedule: Full-time, in-office. Reliability and focus are non-negotiable.
