The Administrative Services Coordinator provides Thurston-Mason Behavioral Health Organization, LLC (TMBHO), Thurston Mason Behavioral Health Administrative Service Organization (TMBH-ASO) and Olympic Health and Recovery Services (OHRS), administrative and technical support. Responsibilities include fleet vehicle coordination, serving as the Safety Officer, facilities support, and supporting program administration.
Serves as the primary liaison for facilities maintenance, repairs, and other operational needs, ensuring timely and effective resolutions
Responsible for establishment and maintenance of supply ordering platforms. Serves as liaison between organizations that provide services and follows government procurement processes. Establishes permissions and delegates ordering permissions to program assistants.
Responsible for coordination of vendors and professional services contracts following government procurement processes to support Trueblood residence homes. Works in collaboration with Trueblood services teams to coordinate for service requests that may impact residents.
Familiar with local government procurement processes. Utilizes Sourcewell, MRSC Small Works Roster, and other appropriate procurement procedures.
Serves as the Safety Officer for TMBH-ASO and OHRS. Facilitates compliance with state and federal health and safety guidelines. Prepare reports on occurrences and provide statistical information to management.
Responsible for conducting Safety Committee meetings following OSHA, RCW and WAC guidelines.
Develops, implements and presents safety training programs. Coordinates emergency disaster response trainings and drills, and prep policy and procedures. Maintains safety committee minutes and other records.
Serves as Primary Fleet Vehicle Coordinator. Tracks and coordinates vehicle maintenance and insurance requirements.
Serves as the primary liaison with Enterprise Fleet Management for leasing and maintenance coordination of vehicles.
Maintains current vehicle and drivers lists for fiscal and admin support team, and submits regular updates for insurance coverage.
Responsible for administration of Fleetio fleet management system. Serves as lead to program assistants for vehicle management across programs.
Serves as primary liaison with fleet service departments. Makes recommendations to executive leadership for repairs that exceed regular maintenance.
Serves as primary coordinator for front desk reception coverage between program assistants. Provides back up-front desk coverage when program assistants are not available.
Serves as primary coordinator for supply ordering. Reviews monthly orders and special requests from program assistants. Maintains purchase history documentation reviews purchase reports.
May serve as project manager for a variety of short-term organizational projects. Develops project plans and tracks progress. Coordinates internal and external resources. Reports and escalates to management as needed. Creates and maintains project documentation.
Performs other duties as assigned.
Schedule: Monday-Friday, 8am-5pm. This is an on site position.
Salary Range: $35.38-$43.59/hour.

EXPERIENCE & EDUCATION:

Four (4) years of public administration, safety, fleet management, government procurement, with progressive responsibilities.

Current Washington State Driver’s License and satisfactory driving record.

Ability to utilize a personal computer and MS Office Suite, and other organizational software applications.

Satisfactory criminal background clearances and excluded party sanctions
SKILLS & ABILITIES:

Knowledge of health and safety guidelines.
- Knowledge of OSHA, Labor and Industries and workplace safety guidelines.
- Knowledge and ability to act as administrator of database systems, to include fleet management systems.

Knowledgeable in government acquisition and procurement processes.

- Ability to create and implement actions plans and evaluate the process and results.

Ability to maintain a professional, collegial manner in a fast-paced environment with competing demands with many interactions with providers, outside and related agencies and staff.

WORKING CONDITIONS:

Work is generally performed onsite at facility locations, indoors and in an office environment.
- Offsite meetings, satellite office support, travel to on-site project locations, to include residential homes, and fleet vehicle maintenance support are required.
- Occasional need to work extended or evening hours.

Moderate physical exertion is required. May be required to lift or move up to 25-35 lbs. Required to move throughout facilities, to include residential homes, climb stairs, sit, squat, and twist. Regular use of typing at a computer while either sitting or standing is required. Regular use of fleet vehicles, to include getting in and out of vehicles for visual inspection and driving multiple vehicles is required.
