The Data Entry Support Specialist provides administrative and technical support for the accurate collection, entry, verification, maintenance, and organization of data supporting the Office of Head Start (OHS) National Customer Service Improvement Project (CSIP). This position is responsible for entering, validating, updating, and maintaining information within Federal data systems that support grants management, customer service, program oversight, and operational reporting. The Data Entry Support Specialist works closely with Federal staff, Data Management Specialists, Data Analysts, and Program Support Specialists to ensure timely, accurate, and complete information is available to support Head Start Regional and Central Office operations.
Responsibilities:

Enter, update, validate, and maintain programmatic, administrative, and grants management data within approved Federal information systems.

Review source documents for completeness, accuracy, consistency, and compliance with established procedures.

Perform quality assurance reviews to identify and correct data entry errors, inconsistencies, and duplicate records.

Support maintenance of Head Start Enterprise System (HSES), SmartFlow, GrantSolutions, AMS, and other approved data systems.

Organize, track, and maintain electronic records supporting grants management, customer service, and program administration.

Verify information received from Regional Offices, grant recipients, contractors, and other stakeholders before entry into official systems.

Assist with preparation of reports, spreadsheets, tracking logs, and other administrative documentation.

Maintain workflow tracking systems supporting grant actions, recipient communications, and operational activities.

Support data collection efforts by organizing, compiling, and preparing information from multiple sources.

Perform document scanning, indexing, filing, and records maintenance activities.

Assist with recurring and ad hoc reporting requests by preparing source information and validating entered data.

Coordinate with Data Management Specialists to resolve data discrepancies and maintain information integrity.

Maintain confidentiality and safeguard sensitive information in accordance with Federal privacy and security requirements.

Support business process improvement initiatives by identifying opportunities to improve data collection and entry processes.

Perform other administrative and data support activities assigned by the Government.
Qualifications:
-
At least 2 years of experience in data entry or administrative support.

Demonstrated accuracy and attention to detail.
-
Experience with Microsoft Office Suite.

Experience using web-based applications.
-
Excellent organizational skills.
-
Strong written and verbal communication skills.
Preferred Qualifications:
-
Experience supporting the Office of Head Start (OHS) or Administration for Children and Families (ACF).

Experience with Head Start Enterprise System (HSES), AMS, GrantSolutions, Smartsheet, and SharePoint.
-
Experience supporting Federal grants management, electronic records management, workflow tracking systems, and customer service operations.
