Administrative Assistant – Cannabis Compliance & Operations
Job Overview
We are seeking a highly organized, detail-oriented, and self-motivated Administrative Assistant to support our daily office operations and cannabis compliance activities. This position is ideal for someone with strong administrative skills, exceptional attention to detail, and extensive knowledge of Oklahoma cannabis regulations. The ideal candidate will be comfortable working in a fast-paced environment, managing multiple priorities, and providing administrative support while ensuring compliance with all applicable regulations.
Responsibilities
- Perform data entry, filing, recordkeeping, and document proofreading to maintain accurate and organized records.
- Utilize Microsoft Word, Excel, Teams, Connecteam, QuickBooks, Metrc, and other software to manage documentation, scheduling, inventory, and communications.
- Assist with office management duties, including answering phones, responding to emails, organizing files, and maintaining office procedures.
- Support order fulfillment when needed, including packaging, bundling, tubing, labeling, and preparing products for distribution.
- Provide administrative and personal assistant support, including calendar management, scheduling appointments, and coordinating meetings.
- Maintain compliance documentation and ensure records meet OMMA and OBNDD requirements.
- Assist with inventory tracking, transfers, manifests, and compliance reporting.
- Work closely with management to ensure daily operations run efficiently while maintaining regulatory compliance.
- Perform additional administrative and operational duties as assigned.
Qualifications
- Minimum of 2 years of administrative, office management, clerical, or executive/personal assistant experience.
- Strong computer proficiency, including Microsoft Office (Word, Excel, Outlook, and Teams).
- Excellent organizational, multitasking, and time management skills.
- Strong written and verbal communication skills with professional customer service and phone etiquette.
- Ability to work independently with minimal supervision while maintaining accuracy and attention to detail.
- High level of professionalism, confidentiality, and dependability.
Required Cannabis Industry Experience
Candidates must meet the following qualifications:
- Current and active Oklahoma OMMA Employee Credential.
- Previous employment within the Oklahoma cannabis industry.
- Extensive knowledge of OMMA and OBNDD compliance requirements.
- Hands-on experience using Metrc.
- Experience working under a Processor License is strongly preferred.
- Experience with GrowFlow and LeafLink is highly preferred.
- Knowledge of inventory management, manifests, product tagging, transfers, testing workflows, and cannabis packaging and labeling requirements.
- Understanding of state compliance standards and the ability to maintain accurate records in a regulated environment.
This position is best suited for someone who is highly organized, compliance-focused, proactive, and capable of supporting both office administration and cannabis operations in a regulated environment.
Job Type: Full-time
Pay: $15.00 - $20.00 per hour
