Position Overview
We are seeking a reliable, organized, and welcoming Front Office Receptionist & Administrative Assistant to join our laboratory team. As the first point of contact for our lab, you will play a crucial role in managing our front desk, providing excellent customer service, handling incoming/outgoing shipments, and assisting with basic bookkeeping. The ideal candidate is detail-oriented, comfortable in a fast-paced environment, and possesses strong communication skills.
Key Responsibilities
- Customer Service & Front Office (40%):
- Greet clients, couriers, and visitors with a professional and helpful attitude.
- Answer incoming phone calls, route inquiries to the appropriate lab personnel, and manage the general office email.
- Maintain a clean, organized, and welcoming front reception area.
- Logistics & Package Management (40%):
- Receive, log, and sort daily mail and incoming packages (including lab supplies, reagents, and patient/client samples).
- Ensure temperature-sensitive or urgent packages are immediately directed to the appropriate lab staff.
- Coordinate outgoing shipments, prepare shipping labels, and schedule courier pickups.
- Mild Bookkeeping & Administration (20%):
- Assist with basic data entry, invoice filing, and matching purchase orders to packing slips.
- Track and reorder general office and breakroom supplies.
- Help process client payments or prepare simple monthly billing summaries under the direction of the manager.
Qualifications & Skills
- Experience: 1–3 years of experience in a front desk, receptionist, or administrative assistant role (experience in a medical, scientific, or veterinary lab is a plus, but not required).
- Education: High school diploma or equivalent required; Associate’s degree or coursework in business/accounting is a plus.
- Technical Skills: Proficiency with Microsoft Office (Word, Excel) and standard email platforms. Familiarity with basic accounting software (like QuickBooks) or laboratory information systems (LIS) is a bonus.
- Core Competencies:
- Strong organizational skills and the ability to multitask.
- High attention to detail, especially when handling sensitive packages or financial numbers.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality regarding lab data or client information.
