Job Summary:
The Billing Accounting Analyst is responsible for importing, reviewing, and billing fuel deliveries to company locations using information provided by various trucking companies. This role also may support billing for non-fuel items as assigned by the Billing Supervisor. The position requires strong attention to detail, sound judgment, initiative, and effective coordination with the Billing Team and Transportation Department to ensure accurate, timely billing, reporting, and issue resolution.
Responsibilities:

Independently oversee assigned carriers to review, import, and bill fuel loads on a daily basis.

Review carrier-provided data for accuracy and completeness, and communicate promptly when questions, discrepancies, or concerns arise.

Coordinate effectively with the Transportation Department, which serves as the primary liaison with carriers.

Maintain and follow standard operating procedures established by the Billing Team.

Respond professionally and timely to questions or concerns from Billing Team members and field team members.

Maintain confidentiality of business, customer, carrier, and financial information.
Qualifications:

Strong understanding of accounting principles, billing processes, and data accuracy requirements.

Demonstrated ability to work independently, prioritize tasks, and exercise sound judgment with minimal supervision.

Excellent organizational, communication, analytical, and problem-solving skills.

Ability to work effectively with cross-functional teams, including Billing, Transportation, and field operations.

Proficiency with Microsoft Office applications and the ability to learn and use accounting, billing, and reporting systems.
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer, typically 6–8 hours per day.

Ability to lift and carry files, binders, and office materials up to 15 pounds as needed.

Frequent use of hands and fingers for keyboarding, data entry, and handling documents.

Visual acuity required to review detailed financial data, spreadsheets, and system reports.

Occasional standing, walking, or reaching to access file cabinets, office equipment, or meeting spaces.

Ability to participate in virtual and in-person meetings, which may require clear verbal communication.

Capacity to maintain focus and attention to detail in a fast-paced, deadline-driven environment.
