Job Summary
Vibrant Law LLC is looking for a dedicated and detail oriented legal assistant to join our busy Family Law practice. This is a small firm with a passion for helping people - but not at the expense of our personal life. We value work/life balance. We do not require prior law firm experience, but customer service experience is a plus. Even better if you have office experience of any kind. Must be comfortable speaking on the phone with clients, potential clients, other attorneys, and the courts. Must be willing to learn and work directly with an attorney and lead paralegal for daily assignments.
Responsibilities
- Serve as a primary point of contact by answering phones, responding to emails, and directing client inquiries promptly.
- Coordinate attorney consultations, including confirming appointments, collecting consultation fees, and managing scheduling changes.
- Maintain attorney calendars and assist with scheduling while accounting for court appearances and trial dates.
- Prepare, track, and distribute engagement and disengagement letters, ensuring all required documentation is completed and signed.
- Maintain accurate client and matter information across case management systems.
- Monitor client intake from initial consultation through engagement, following up with prospective clients and updating case status as needed.
- Open, update, and close client matters while maintaining organized electronic files.
- Assist with billing and collections by sending payment reminders, monitoring outstanding balances, following up on trust requests, and communicating with clients regarding payment deadlines.
- Coordinate with attorneys to ensure timely review and completion of client documents.
- Provide exceptional customer service while maintaining confidentiality and professionalism in all client interactions.
- Perform other administrative and legal support duties as assigned.
Qualifications
- Previous experience as a legal assistant, administrative assistant, or in a professional office environment preferred, but we will train the right candidate.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, prioritize deadlines, and work independently.
- Professional demeanor and commitment to providing outstanding client service.
Pay: $23.95 - $25.42 per hour
