Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties
- Handle incoming calls, direct inquiries, and provide outstanding customer support and customer service
- Manage calendar appointments, schedule meetings, and coordinate office events using Microsoft Office and Google Workspace tools
- Perform data entry, maintain accurate filing systems, and proofread documents to ensure clarity and correctness
- Oversee office management tasks including supply ordering, filing, photocopying, and general clerical duties such as typing and proofreading
- Support bookkeeping activities using QuickBooks for basic financial recordkeeping, invoicing, and time entries
- Assist with personal assistant responsibilities such as calendar management, travel arrangements, and task prioritization
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks and Google Workspace applications
- Excellent organizational skills with the ability to multitask efficiently in a busy environment
- Prior office experience or clerical experience demonstrating familiarity with administrative procedures
- Effective communication skills in both bilingual settings (if applicable) and monolingual environments
- Knowledge of multi-line phone systems, data entry techniques, filing systems, and proofreading standards
- Experience in office management roles including supply ordering and facility coordination
- Ability to handle sensitive information discreetly while providing exceptional customer support
- Time management skills to prioritize tasks effectively throughout the workday
- Personal assistant or medical/dental receptionist experience is a plus but not required
