Job Overview
We are seeking an energetic and detail-oriented Administrative Office Coordinator to streamline office operations and support our team. This vital role involves managing daily administrative tasks, coordinating schedules, overseeing vendor relationships, and ensuring smooth office functionality. The ideal candidate will bring strong organizational skills, technical proficiency, and a proactive attitude to enhance our workplace efficiency.
Duties
- Create customer quotes and set up jobs within the Jobber software system
- Prepare and send customer invoices
- Manage calendar, scheduling appointments, and coordinate daily job assignments
- Communicate schedule changes, project updates, and other important information to customers
- Oversee vendor management, including communication, contracts, and service coordination
- Handle bookkeeping, payroll processing, and financial recordkeeping using QuickBooks or similar software
- Help reconcile end-of-month statements
- Maintain accurate financial and administrative records
- Coordinate event planning for company functions, meetings, and community outreach initiatives
- Maintain filing systems, front desk operations, and office supplies inventory
- Answering incoming phone calls and assist customers professionally and courteously
- Support human resources functions such as onboarding new employees and maintaining personnel records
- Pick up and process incoming mail
- Perform general office duties including filing, copying, scanning, and maintaining organized records
- Order and track office supplies, equipment, and inventory
- Maintain employee time records and manage the DayOff system
- Assist with social media and marketing initiatives
- Order marketing materials and promotional supplies
- Coordinate employee appreciation events, holiday parties, and company gatherings
- Assist in planning and organizing special company events
- Provide administrative support to management as needed
- Complete miscellaneous office projects and special assignments
- Help identify opportunities to improve office processes and efficiences
Requirements
- Proven experience in office supervisory or administrative roles with a focus on organization and multitasking
- Strong communication skills with professional phone etiquette and interpersonal abilities
- Technical proficiency in Microsoft Office Suite, financial software (e.g., QuickBooks), and other relevant tools
- Basic knowledge of human resources processes, payroll administration, and bookkeeping
- Ability to manage schedules efficiently while handling multiple priorities in a fast-paced environment
- Strong attention to detail
